Job Summary
We are seeking an energetic and detail-oriented Med Spa Receptionist to join our dynamic team. In this vital role, you will be the welcoming face of our clinic, providing exceptional patient service while managing front desk operations with efficiency and professionalism. Your enthusiasm and organizational skills will ensure a smooth patient experience from check-in to check-out, supporting our commitment to delivering outstanding aesthetic and wellness treatments. Duties

  • Greet patients warmly and assist with check-in and check-out procedures, ensuring a positive first impression
  • Schedule appointments accurately using electronic scheduling system, Patient Now.
  • Answer multi-line phone systems professionally, providing information and directing calls appropriately
  • Maintain a clean, organized front desk area while managing clerical tasks such as filing, data entry, and appointment confirmations

Computer & Administrative Skills

  • Experience with scheduling software / EMR systems
  • Ability to learn new systems quickly
  • Accurate data entry and chart management
  • Ability to manage phone lines, texts, emails, and online bookings simultaneously

Medical Spa / Aesthetic Industry Knowledge (Preferred but trainable)

  • Basic understanding of aesthetic treatments (Botox, filler, facials, lasers, weight loss, HRT, etc.)
  • Understanding of HIPAA and patient confidentiality
  • Knowledge of treatment prep, contraindications, and scheduling guidelines
  • Ability to follow medical office protocols and provider instructions

Teamwork & Professionalism

  • Willingness to help with tasks outside of front desk duties
  • Maintains clean, organized, and professional front desk area
  • Represents the brand with professionalism on the phone, in person, and online
