Position Summary
We are seeking a highly organized and detail-oriented Construction Project Coordinator to support procurement and project execution activities across multiple active greenhouse construction projects. This role is responsible for managing purchase orders, coordinating material deliveries, and ensuring alignment between procurement schedules and field operations from project kickoff through closeout.
The ideal candidate is hands-on, proactive, and comfortable working in a fast-paced, multi-project environment where timing, accuracy, and communication are critical to success.
Key Responsibilities
Procurement & Order Management
- Issue, track, and expedite purchase orders for greenhouse construction materials, equipment, and systems (structural components, glazing, irrigation, etc.)
- Verify pricing, quantities, lead times, and specifications prior to PO issuance
- Request and evaluate vendor quotations for materials and services
- Maintain accurate PO records, confirmations, and shipping documentation in ERP system
- Reconcile vendor invoices against POs and packing slips and resolve discrepancies
Project & Site Coordination
- Coordinate closely with Project Managers to align procurement with project schedules and field execution plans
- Ensure timely delivery of materials to jobsites, staging yards, and depots
- Communicate proactively with field teams regarding order status, delays, substitutions, and delivery updates
- Arrange freight and transportation logistics, including oversized and specialized deliveries
- Support coordination of equipment rentals, returns, and on-site material needs
Vendor Management
- Maintain strong relationships with suppliers, manufacturers, and distributors
- Follow up on open orders and expedite deliveries as needed
- Track and report vendor performance issues (delays, shortages, quality concerns)
- Manage returns, warranty claims, and credit processing in coordination with vendors and accounting
Inventory & Materials Support
- Monitor inventory levels of frequently used materials and consumables
- Support replenishment planning to balance availability and cost control
- Assist with physical inventory counts and reconciliation
- Track tools and equipment assigned to crews and jobsites
Reporting & Administration
- Generate reports on purchase orders, committed costs, delivery status, and project expenditures
- Maintain accurate documentation of procurement and logistics activities
- Support project cost tracking and administrative reporting requirements
Required Qualifications
Experience
- Experience supporting construction, field operations, or project-based procurement environments
- Strong understanding of coordinating materials and deliveries with project schedules
- Experience in construction supply chain or related industries is preferred
Technical Skills
- ERP system experience (Acumatica preferred) for purchase orders and inventory tracking
- Strong proficiency in Microsoft Excel (sorting, filtering, basic formulas)
Communication & Soft Skills
- Excellent organizational skills with the ability to manage multiple active projects
- Strong written and verbal communication skills
- Ability to prioritize competing demands effectively
- Problem-solving mindset with strong follow-through
Preferred Qualifications
- Experience with Acumatica ERP purchasing and inventory workflows
- Exposure to greenhouse construction, structural systems, or MEP/environmental systems
- Experience coordinating freight (LTL, flatbed, oversized loads)
- Multi-site or multi-region procurement experience
