EyeSouth’s affiliate network consists of over 40 practices with 300 doctors providing medical and surgical eye care services at over 175 clinic locations and 20 ambulatory surgery centers throughout Georgia, Texas, Louisiana, Florida, Tennessee, Ohio, Kentucky, Alabama, Illinois, Pennsylvania, New York, North Carolina, and South Carolina. 

Position Summary

Manages all activities related to leave of absences and related programs including FMLA, disability, individual state paid family leave, as well as company leave policies such as personal LOA, and non-FMLA medical leaves.  Assures compliance with all applicable state and federal regulations.

Responsibilities

Leave Management

  • Advises employees and managers on the organization's leave programs, including maternity or paternity leave, medical or disability leave, military leave, or unpaid leave in conjunction with PTO, STD, and LTD.
  • Analyzes leave requests, determines employee eligibility, tracks leaves from start to finish within HRIS and other resources, completes all paperwork timely, follows up on missing documents from employee/providers and communicates with appropriate parties accordingly.
  • Provides recommendations related to the development of alternate work arrangements and/or accommodations in conjunction with HR and managers.
  • Assists Total Rewards Manager with the initial build out and implementation of new internal absence management program.
  • Assists Total Rewards Manager with the integration of FMLA and ACA for new affiliates during the integration phase.
  • Monitors arrears reports and ensure timely repayment with employees.
  • Adjusts time or pay in HRIS related to leaves accordingly.

 

Benefits Administration

  • Serve as the main point of contact for employees, managers, physicians, and HR/payroll staff on all benefit related questions, requests, and requirements/provisions of benefit programs and leave administration.
  • Responsible for customer service of benefits - oversee and monitor calls, benefits inbox, resolve issues, and work directly with Managers to ensure reasonable timeframes for issues resolution.
  • Oversee other benefit operation tasks such as COBRA, death claims, QMCSOs, etc.
  • In conjunction with the Total Rewards Manager, creates and distributes a variety of educational materials to inform and educate management and employees regarding changes to benefit plans, programs, administrative practices, and legislative requirements.
  • Manages data necessary to complete government compliance activities (5500 ACA filing, discrimination testing, audits, etc.), employee mailings, and vendor billing.
  • Assures processes and procedures are in place to capture and maintain consistent and accurate benefit related activities and records.
  • Manages benefit audits within HRIS, benefit carriers, and third-party administrators (i.e., employee data, benefit recalculations, auditing records, manual entry corrections, etc.).
  • Provides management planning and control information by collecting, analyzing, and summarizing employee benefit data and trends.
  • Conducts monthly benefits reconciliation process to ensure premiums have been paid timely and benefits are correct.
  • Cross trains as needed within the HR department for professional development and coverage assistance.
  • Adds to the HR team’s professional development by providing guidance and education as situations arise.
  • Manages and monitors new hire enrollment, qualifying life events (QLEs), ACA enrollees, and annual open enrollment regarding processes, communications, and other various activities associated with benefit programs and the 401k plan.
  • Monitors plan limits, eligibility, and other restrictions on plan participation to ensure compliance with both plan provisions and government requirements.
  • Contribute to the team effort by completing other tasks/projects as needed.

Qualifications

  • Bachelor's degree required, or the equivalent years related experience.
  • Minimum 3 years in-house FMLA administration experience required.
  • Minimum 2 years multi-state benefits administration in a 2,000 employee environment.
  • Prior experience within a large HRIS environment strongly preferred (UKG/Ulti-Pro, Ceridian, Workday, etc.) UltiPro/UKG strongly preferred.
  • CEBS or other industry certification preferred.
  • Demonstrated understanding of employer group benefits.
  • Extensive knowledge of IRS Section 125 Cafeteria Plans and Patient Protection and Affordable Care Act.
  • Ability to speak publicly in front of large audiences, both in person and virtually.
  • Intermediate computer skills including Microsoft Office; especially Word, Excel, and PowerPoint (Pivot tables, VLOOKUP’s, etc.).
  • Excellent interpersonal skills including the ability to interact effectively and professionally with individuals at all levels; both internal and external.
  • Exercises sound judgment in responding to inquiries; understands when to route inquiries to next level.
  • Self-motivated with strong organizational skills and superior attention to detail.
  • Must be able to manage multiple tasks/projects simultaneously within inflexible time frames. Ability to adapt to frequent priority changes.
  • Team player that develops strong collaborative working relationships with internal partners and can effectively engage and build consensus among cross-functional teams.
  • Strong problem solving and negotiation skills.
