The Role
We are looking for a high-level Office Manager / Front Desk Medical Receptionist to serve as the face and operational leader of our practice.
This is more than a front desk position—this is a leadership patient experience role across both optometry and dental services.
You will:
- Lead front desk operations for both eye care and dental care
- Deliver a luxury-level, seamless patient experience from first contact to follow-up
- Manage scheduling across providers and services efficiently
- Coordinate patient flow for both clinical teams
- Support billing workflows (medical, vision, and dental insurance familiarity is a plus)
- Train and guide front desk team members
- Handle patient concerns with empathy, confidence, and professionalism
- Uphold and communicate EyeSmile’s standard of care philosophy
Who You Are
You are:
- Highly organized and detail-oriented
- Polished, warm, and confident with patients
- Able to manage multiple moving parts across two specialties
- A strong communicator (in person, phone, and written)
- Comfortable discussing fees, insurance, and the value of care
- A proactive leader who takes ownership
Bonus if you:
- Have experience in optometry, dentistry, or medical offices
- Understand insurance workflows (medical, vision plans like VSP/EyeMed, and dental insurance)
- Have experience with EMR systems (Crystal PM or Dentrix software is a plus)
Key Responsibilities
- Patient check-in/check-out with exceptional service
- Scheduling optimization across optometry and dental providers
- Insurance verification and clear financial communication
- Managing phones, emails, and patient inquiries
- Coordinating care plans (dry eye programs, myopia management, dental treatment plans)
- Overseeing front desk systems, protocols, and team accountability
- Ensuring a smooth, elevated experience across both departments
