Office Operations & Service Coordinator (Security & IT)About the Position
We are looking for an organized, dependable, and technically minded Office Operations & Service Coordinator to join our growing Security and IT team. This position plays a vital role in coordinating daily office operations, scheduling technicians, managing inventory, and supporting the installation and service of security and networking systems.
The ideal candidate enjoys solving problems, communicating with customers and technicians, and keeping projects running smoothly from start to finish.
ResponsibilitiesOffice Administration
- Coordinate daily office activities and administrative tasks
- Answer incoming customer calls and schedule service requests
- Maintain permits, service records, and company documentation
- Manage vendor relationships and office purchasing
- Assist with onboarding and maintaining employee records
Scheduling & Dispatch
- Schedule technicians for installations, maintenance, and service calls
- Coordinate emergency service requests and adjust schedules as priorities change
- Monitor technician availability and project progress
- Communicate schedules and job details with field personnel
- Optimize technician routes and daily workloads
Inventory & Purchasing
- Order equipment, parts, and supplies for security and IT projects
- Maintain accurate inventory counts and stock levels
- Receive and organize incoming shipments
- Coordinate with technicians to ensure materials are available before scheduled work
- Work with vendors to resolve backorders and obtain competitive pricing
Technical Support
- Assist with configuring alarm systems, CCTV, access control, and related security equipment
- Configure basic networking devices including routers, switches, wireless equipment, and firewalls
- Provide remote support for technicians and customers when needed
- Maintain customer system documentation and network records
- Escalate advanced technical issues to senior technicians or manufacturers
Field Service
- Perform occasional on-site service work involving alarm systems, surveillance cameras, access control, networking equipment, and computer-related tasks.
Qualifications
- Experience in office administration, dispatching, scheduling, or operations coordination
- Excellent organizational and communication skills
- Strong customer service abilities
- Proficient with Microsoft Office and scheduling software
- Ability to manage multiple priorities in a fast-paced environment
- Comfortable learning new technology and security systems
Preferred Experience
- Previous experience with an alarm, security, low-voltage, or IT services company
- Knowledge of CCTV, intrusion systems, access control, or structured cabling
- Basic networking knowledge including IP addressing, routers, switches, and port forwarding
- Experience with Honeywell, Bosch, DSC, Ubiquiti, or similar platforms
- Familiarity with purchasing, inventory control, or warehouse operations
- Technical certifications in networking, security, or IT support are a plus
