Extreme Construction & Maintenance is seeking a highly organized and dependable Operational Administrative Manager to independently lead day-to-day office, financial coordination, and operational functions. This role is critical to maintaining efficiency across the company, with responsibility for managing daily financial activities—including AR/AP processing, payroll coordination, job cost tracking, reporting, scheduling, and supporting the General Contractor and leadership team. This is a high-impact management position requiring ownership, initiative, and strong decision-making.
The ideal candidate demonstrates exceptional attention to detail, accountability, and the ability to prioritize and execute across multiple responsibilities in a fast-paced construction environment. While onboarding and training will be provided, this role is designed to transition quickly into full independent office management, with the expectation of confidently overseeing operations with minimal supervision.
Key Responsibilities
- Provide day-to-day administrative support to management and field operations
- Keep accurate recording, documentation, and internal communications
- Maintain organized digital and physical filing systems
- Respond to client inquires via phone and email
- Accounts Payable and Receivable
- Maintain accurate financial records and job documentation
- Maintaining books across multiple entities
- Process payroll including compliance and reporting processes
- Track job costs, work orders, and project billing details
- Assist the General Contractor with job documentation and administrative project support
- Maintaining compliance documentation and company records
- Maintain confidentiality of financial, payroll, and employee information at all times

Required Qualifications
- High school diploma or GED required
- 3 years of experience in office administration, accounting support, or construction operations
- Strong understanding of basic accounting principles (AP/AR experience strongly preferred)
- Proficient in Microsoft Office (Excel, and Word)
- Strong organizational and communication skills
- Ability to multitask and meet deadlines
- High level of integrity when handling sensitive financial and employee information
Preferred Qualifications
- Associates degree strongly preferred

Work Schedule
This position is typically scheduled for a 35–40-hour work week, Monday through Friday. A 4/10 schedule may be available based on management approval following probationary period.
