Duties
- Greet visitors, clients, and staff with enthusiasm and professionalism, creating a welcoming environment.
- Manage multi-line phone systems efficiently, directing calls accurately and courteously.
- Handle all front desk responsibilities including scheduling appointments, maintaining calendars, and coordinating meetings.
- Perform data entry tasks using Microsoft Office, Google Workspace, and other office management software with precision.
- Maintain organized filing systems and ensure all documents are accurately proofread and stored securely.
- Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and clerical duties like photocopying and faxing.
- Provide excellent customer support by addressing inquiries promptly and professionally while demonstrating strong phone etiquette.
- Assist with administrative projects including proofreading documents, managing emails, and supporting personal assistant tasks as needed.
Experience
- Prior office experience or administrative support roles demonstrating strong organizational skills.
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools.
- Experience with multi-line phone systems and handling high-volume calls with professionalism.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Knowledge of office management procedures such as filing systems, calendar management, and record keeping is preferred.
- Clerical experience involving proofreading, data entry, or bookkeeping (QuickBooks) is advantageous.
