The Event Design Specialist plays a key role in creating engaging and impactful event experiences for the corporate and franchisee workforce at Express Employment International. The Specialist supports multiple aspects of event design and execution, contributing creative solutions while ensuring seamless coordination across teams, vendors, and venues. This position operates in fast-paced environments and requires strong judgment, adaptability, and the ability to make informed decisions both in the office and onsite at events.

Responsibilities
Event Design
- Lead strategic meeting design for assigned events, including agenda development, program flow, and show flow aligned with event objectives and stakeholder priorities
- Partner with internal stakeholders to translate business goals into engaging sessions and attendee experiences
- Integrate side meetings, ancillary sessions, and special event programming (e.g., offsite dinners, themed experiences, or concerts) into the overall event schedule to ensure a cohesive attendee journey
- Source, negotiate, and manage guest speakers and panelists, including preparation through briefing sessions, content reviews, and coordination with internal leadership
- Ensure general session programming and event activities align with organizational standards and applicable requirements
- Manage logistics for learning sessions across assigned events, including scheduling, room assignments, and coordination with venues and vendors
- Develop and maintain session information such as descriptions, speaker biographies, and scheduling details
- Analyze attendance demand and recommend space allocation or alternative solutions as needed
- Support event innovation and continuous improvement through post-event feedback and documentation
- Build and manage event registration platforms and mobile applications for assigned meetings.
- Oversee the registration lifecycle, including attendee support and troubleshooting
- Serve in onsite leadership roles during events, making real-time decisions to support successful execution
- Train and brief onsite teams on registration systems, learning session operations, and attendee support procedure
- Travel regularly for event execution, site visits, and professional development
- Six (6) years meeting planning experience of any kind required
- Bachelor’s degree in an event/hospitality specialty or marketing, communications, or management field required
- Three (3) – five (5) years’ experience in corporate meeting planning preferred
- Candidate must have, and maintain, a current passport and be able to travel unrestricted to other countries, oftentimes on their own
Knowledge
- Knowledge of event planning, meeting design, and event logistics
- Understanding of the meeting and events industry, including vendor management and venue operations
- Familiarity with audio/visual coordination, stage production, risk management, and contingency planning
- Knowledge of the franchise or staffing industries preferred
- Strong problem-solving and conflict resolution skills, particularly in fast-paced or high-pressure environments
- Ability to design engaging meeting content and attendee experiences
- Vendor sourcing, negotiation, and relationship management
- Budget development and financial tracking
- Excellent verbal and written communication skills
- Proficiency with Microsoft Office Suite (Outlook, Excel, Word, Teams, PowerPoint)
- Experience with event and collaboration platforms such as Cvent, Navan, Workfront, OneDrive, Adobe Acrobat Pro, or similar systems
- Ability to manage multiple priorities and adapt quickly in a dynamic event environment
- Ability to work independently while collaborating effectively with cross-functional teams
