Position: Accounting & Business Services Coordinator

Reports to: Accounting Manager, Explora

FLSA Status: 40 hours/week, (exempt) salaried

Compensation: $53,000/year with 100% employer-paid health insurance premiums and additional benefits including retirement (value of additional 19%)

Position Summary

The Accounting & Business Services Coordinator supports the financial, administrative, and payroll operations of Brillante Early Learning Center while coordinating efforts between Brillante and Explora's Accounting and Benefits and Payroll teams. This position helps ensure that Brillante's administrative systems are accurate, efficient, compliant, and responsive to the needs of a growing early childhood organization. Working closely with Directors and the Brillante leadership team, the Accounting & Business Services Coordinator ensures that Brillante's ongoing business operations support the organization's mission and long-term sustainability.

Essential Duties & Responsibilities

The Accounting & Business Services Coordinator is responsible for:

  • Serving as Brillante's representative and content expert for Explora's Accounting, Payroll-Benefits, and Administrative teams to coordinate financial, personnel, and operational processes;
  • Supporting accounting functions which can include purchasing, invoice processing, purchase requests, reimbursements, credit card reconciliation, budget tracking, grant expense tracking, account coding, and financial documentation;
  • Supporting payroll and benefits processes including timesheets, onboarding documentation, personnel files, benefits administration, licensing records, and required employment documentation, in partnership with Explora’s Payroll and Benefits Manager;
  • Maintaining organized systems for contracts, grants, budgets, purchasing records, licensing documentation, personnel records, vendor files, and other confidential organizational records;
  • Supporting annual budgets, grant and financial reporting, audits, and organizational planning through accurate documentation, data collection, and administrative coordination;
  • Assist in monitoring purchasing, subscriptions, contracts, recurring payments, inventory, and operational expenses while helping maintain accurate financial records and budget oversight;
  • Participate in developing, implementing, and continuously improving administrative systems, workflows, checklists, calendars, and organizational processes that increase efficiency, accountability, and accuracy;
  • Preparing reports, spreadsheets, financial summaries, personnel documents, correspondence, and other administrative materials;
  • Maintaining confidentiality and exercising sound professional judgment when handling financial information, personnel matters, student records, and other sensitive organizational information;
  • Collaborating with Directors and program leadership to identify operational challenges and implement systems that improve organizational effectiveness and support future growth;
  • Building positive working relationships with Explora departments, vendors, contractors, auditors, families, and community partners through responsive, professional communication; and
  • Contributing to a safe, welcoming, and collaborative organizational culture that reflects Brillante's mission, values, and commitment to children, families, and community.

Skills & Qualifications

  • Associate's or Bachelor's degree preferred;
  • Experience in accounting, bookkeeping, payroll, human resources, purchasing, grants management, or business operations;
  • Strong organizational skills with exceptional attention to detail and accuracy;
  • Demonstrated ability to maintain confidentiality while exercising sound judgment and professionalism;
  • Ability to build systems, improve workflows, and manage multiple ongoing projects simultaneously;
  • Strong spreadsheet, database, and analytical skills;
  • Ability to work collaboratively across multiple departments and maintain positive working relationships;
  • Experience using Google Workspace, Microsoft Office, accounting software, payroll systems, and electronic recordkeeping systems;
  • Experience working in nonprofit organizations, educational settings, or grant-funded programs preferred;
  • Demonstrated commitment to equity, inclusion, accessibility, and culturally responsive practice; and
  • Bilingual in English and Spanish preferred.

Work Requirements & Conditions of Employment

  • Background clearance as required by Explora and ECECD
  • Must complete and maintain all ongoing licensing-required professional development requirements throughout employment
  • Must be able to work in office, classroom, museum, and outdoor learning environments in a variety of weather and environmental conditions
  • Must be able to provide supervision and support for children in classroom settings when needed, including assisting with transitions, routines, and emergency response
  • Must be able to safely lift up to 50 pounds
  • Requires occasional evening and weekend availability to support family engagement activities, community events, and special programs
  • Must maintain a current and valid driver's license if position duties require travel on behalf of Explora.
