Position Overview:

We are seeking a mid-level Operations Administrator to join our team, reporting to the COO. This role provides comprehensive administrative and operational support across both the technical and business sides of the company, ensuring smooth day-to-day operations and enabling the team to deliver exceptional client service.

This is a pivotal position responsible for coordinating administrative processes, compiling reports, managing reconciliations, documenting procedures, assisting with procurement, and supporting a variety of operational and project-based tasks. The role requires a strong understanding of how office systems and operational workflows function, with the ability to manage complex responsibilities and support leadership in both strategic and tactical initiatives.

The ideal candidate thrives in a fast-paced environment, has excellent organizational and multitasking skills, and demonstrates strong communication and interpersonal abilities. Experience in IT or technology services is preferred, along with a track record of discretion, problem-solving, and adaptability.

Work Environment:

This is a full-time, in-person role based in our West Houston office.


Responsibilities:

  • Learn and effectively use various applications, including Microsoft 365 apps, SharePoint, QuoteWerks, and ConnectWise PSA modules and reports (Service and Product Catalog).
  • Maintain and update client records, contracts, and inventory in PSA and related systems.
  • Manage and support ad-hoc projects and initiatives across departments, tracking milestones, timelines, deliverables, and ensuring cross-functional collaboration and timely completion.
  • Compile and synthesize reports from multiple data sources (financial, project, client service, etc.) to support operational insights and decision-making.
  • Prepare, proofread, and edit documents, reports, presentations, and meeting materials.
  • Coordinate complex schedules, meetings, and event logistics for internal stakeholders, including executive leadership.
  • Collaborate with the COO and CEO on internal planning, meeting preparation, and follow-ups.
  • Assist with procurement, including purchase orders, quotes, renewals, vendor relations, and acquisition of hardware, software, licenses, and SSL certificates.
  • Make occasional hardware purchases based on specifications, price, and delivery needs; coordinate billing, shipping, and receipt.
  • Coordinate meeting logistics, agendas, minutes, and follow-ups for internal and external events.
  • Manage digital and physical record retention policies, ensuring secure, organized filing systems.
  • Conduct research and compile information to support decision-making and operational improvements.
  • Collaborate across departments — including IT Managed Services, Sales, HR, and Finance — to ensure alignment and effective communication between technical and non-technical teams.
  • Contribute to the evaluation and improvement of internal processes and systems, offering recommendations and supporting implementation.



Experience – Required: (3–5 years minimum):

Administrative & Operational Experience

  • Previous experience in a mid-level administrative, operations, or project coordination role with exposure to both business and technical functions.
  • Strong understanding of office systems, operational workflows, and administrative infrastructure within a service-based organization.
  • Proven experience supporting senior leadership in an IT or service-based environment.
  • Demonstrated ability to produce consistently high-quality, detail-oriented work.
  • Track record of handling sensitive information with discretion and confidentiality.
  • Experience working independently in fast-paced, dynamic environments.

Interpersonal & Collaborative Experience

  • Experience collaborating with both technical and non-technical stakeholders.
  • Strong analytical and problem-solving skills to address operational challenges.



Experience – Preferred:

  • Background in IT managed services, procurement, or sales operations.
  • Familiarity with IT products, services, vendor management, and procurement processes.



Skills - Required:

Technical Proficiency

  • Proficient with Microsoft 365 applications: Outlook, Word, Excel, PowerPoint, SharePoint, and Teams.

Communication & Interpersonal

  • Excellent written and verbal communication abilities; professional demeanor.
  • High emotional intelligence for interacting with diverse personalities and clients.

Work Ethic & Professionalism

  • Strong organizational, multitasking, and time management skills.
  • Self-motivated, proactive, and dependable.
  • Ability to anticipate needs and solve problems independently.
  • Sense of urgency; adaptable and eager to learn.



Skills – Preferred:

  • Advanced MS Excel skills: pivot tables, VLOOKUPs, and report compilation.
  • Experience using ConnectWise and IT Glue.



Required Education:

  • Bachelor’s degree in Business, Information Technology, or a related field.

  • Full-Time, Non-Exempt, From $33.65/hour, depending on qualifications & experience.
