The purpose of this position is to handle daily clerical and administrative tasks that keep our mail and warehouse operations running smoothly. Core responsibilities include processing incoming & outgoing mail, warehouse data entry, Operate and basic record-keeping, operating office equipment such as electric pallet jack and forklift.
Essential Duties and Responsibilities:
Shipping & Receiving
Process Incoming/Outgoing Mail: Sort, log, and distribute all incoming mail, packages via US Government Client, FedEx, UPS, DHL and freight shipments. Prepare and process all outgoing shipments via US Government Client, FedEx, UPS and freight shipments.
Inventory Management: Maintain accurate inventory counts of warehouse stock, shipping supplies, and company materials. Conduct regular cycle counts.
Quality Control: Inspect incoming shipments for damage, defects, or shortages, and reconcile deliveries against packing slips for accuracy.
Data Entry: Utilize warehouse management systems (WMS) or shipping software to log tracking numbers, inventory updates, and delivery confirmations.
Warehouse Operations & Logistics
Material Handling: Safely load, unload, stack, and stage materials using equipment such as forklifts, pallet jacks, and hand trucks.
Order Picking & Packing: Accurately pick, pack, and label products or materials for internal distribution or external client shipping, ensuring strict adherence to packaging standards.
Space Optimization: Organize and maintain the physical layout of the mailroom and warehouse space to maximize space utilization, efficiency, and accessibility.
Facilities, Safety & Compliance
Safety Adherence: Maintain a clean, organized, and safe working environment. Strictly adhere to OSHA regulations, hazardous materials (HazMat) shipping standards, and company safety protocols.
Equipment Maintenance: Perform routine safety checks on warehouse equipment (e.g., forklifts, scales, postage meters) and report any maintenance or repair needs immediately.
Security: Ensure the warehouse and mailroom facilities are always secure, monitoring access and properly handling confidential or high-value mail/cargo.
Note on Physical Demands: This role regularly requires the ability to lift up to 50 lbs, stand or walk for extended periods, and operate heavy machinery/warehouse equipment.
Supervisory Responsibilities:

Qualifications:

Education and Experience:
High School diploma or GED equivalent required and a minimum of 2 - 3 years of related work experience in warehouse, shipping and receiving.
Certificate and/or License:
Forklift certification a plus
Communication Skills:
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine correspondence. Ability to respond to common inquiries from clients, co-workers, and/or supervisor.
Comfortable meeting and engaging with new people.
Warm and engaging demeanor. Ability to assess circumstances, empathize and offer help.
Financial Knowledge:
Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.
Reasoning Ability:
Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.
Other Skill And Abilities
Intermediate skills with Microsoft Office Suite, Google documents, handheld mobile technologies and applications.
