Duties
- Manage front desk responsibilities, greeting visitors and clients with a friendly, professional demeanor.
- Operate multi-line phone systems, directing calls efficiently and providing excellent customer support.
- Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records.
- Utilize Microsoft Office Suite and Google Workspace tools for correspondence, scheduling, and report creation.
- Handle calendar management and appointment scheduling for staff members or executives.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping.
- Support office management functions including supply inventory, mail distribution, and general administrative support.
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills.
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications.
- Experience with QuickBooks or bookkeeping software is highly desirable.
- Strong phone etiquette skills with the ability to manage multi-line phone systems confidently.
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
- Demonstrated ability to prioritize tasks efficiently while maintaining attention to detail.
- Previous experience as a receptionist, medical or dental receptionist, or personal assistant is advantageous.
