Overview
We are seeking a dynamic and highly organized Office Administrative Assistant to join our team! Duties

  • Manage front desk responsibilities, greeting visitors and clients with a friendly, professional demeanor.
  • Operate multi-line phone systems, directing calls efficiently and providing excellent customer support.
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records.
  • Utilize Microsoft Office Suite and Google Workspace tools for correspondence, scheduling, and report creation.
  • Handle calendar management and appointment scheduling for staff members or executives.
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping.
  • Support office management functions including supply inventory, mail distribution, and general administrative support.

Qualifications

  • Proven experience in office administration or clerical roles with strong organizational skills.
  • Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications.
  • Experience with QuickBooks or bookkeeping software is highly desirable.
  • Strong phone etiquette skills with the ability to manage multi-line phone systems confidently.
  • Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
  • Demonstrated ability to prioritize tasks efficiently while maintaining attention to detail.
  • Previous experience as a receptionist, medical or dental receptionist, or personal assistant is advantageous.
  • Exceptional organizational skills with the ability to handle multiple responsibilities simultaneously and meet deadlines. Pay: $15.00 - $20.00 per hour

Expected hours: 40.0 per week

Experience:

  • Microsoft Office: 3 years (Required)
  • QuickBooks: 3 years (Preferred)
