Essential Job Responsibilities:
- Independently manage daily workflows and prioritize tasks to ensure the timely completion of all assignments, strictly adhering to legal deadlines and firm standards.
- Serve as the primary point of contact for all core service requests, handling inquiries promptly and effectively to ensure attorney and client satisfaction.
- Develop and maintain standard operating procedures (SOPs) to ensure consistency, accuracy, and efficiency in site operations.
- Analyze service and operational trends, proactively identifying potential challenges and implementing process enhancements.
- Ensure strict compliance with firm policies and uphold the highest ethical standards regarding the confidentiality of sensitive client information.
Hands-On Operational Support
- Document Production: Execute high-volume copying, printing, and scanning of legal documents, ensuring exact precision and quality control.
- Mail & Courier Services: Manage all incoming and outgoing US mail and courier shipments (specifically FedEx), ensuring secure routing and timely dispatch of legal correspondence.
- Records Management: Actively assist the Records department with file management, organization, archiving, and document retrieval.
- Office Operations & Hospitality: Handle front-line office duties, including answering phones professionally, managing inventory and ordering supplies, and executing hospitality duties for client meetings, depositions, and firm events.
- Flexible Support: Adapt to changing priorities, which includes working extra hours and weekends as needed to support urgent litigation deadlines.
- Other Duties as Assigned: Perform various miscellaneous tasks and ad-hoc projects as needed to support the overall functioning of the office, recognizing that daily responsibilities may dynamically extend beyond the core duties listed above.
Qualifications:
- Education: Bachelor's degree in Business Administration, Legal Studies, or an equivalent combination of education and relevant experience.
- Experience: 3-5 years of experience in a similar operational or office management role, preferably in a law firm or legal environment.
- Industry Knowledge: Solid understanding of litigation work, legal terminology, and standard law firm workflows.
- Independent Work Ethic: Proven track record of working autonomously, managing self-performance, and taking full ownership of site operations without the need for daily supervision.
- Problem-Solving Skills: Strong analytical abilities to assess situations, identify underlying issues, and develop effective solutions on the fly.
- Communication: Excellent verbal and written communication skills; ability to articulate ideas clearly and build rapport with attorneys and clients.
- Adaptability: Proven ability to thrive in a fast-paced, dynamic environment and juggle competing demands seamlessly.
- Core Office Support: Extensive mailroom experience, coupled with expertise in legal document production (copy, print, scan).
- Software Proficiency: Highly proficient in the Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and Adobe Acrobat Professional.
