Key Responsibilities
- Provide high-level administrative support including drafting correspondence, preparing reports, and maintaining departmental files and records
- Manage calendars, coordinate meetings, schedule appointments, and prepare meeting materials and notes
- Serve as a primary point of contact for students, faculty, staff, and external partners, delivering professional and timely communication
- Coordinate travel arrangements and related logistics
- Process purchase requisitions, invoices, expense reports, and reimbursements in accordance with institutional guidelines
- Maintain office operations, including managing supplies, coordinating with vendors, and addressing facility needs
- Assist with budget tracking and maintain accurate financial documentation
- Coordinate and support departmental events, workshops, and special projects
- Compile data and assist with reporting and cross-functional initiatives
- Identify process improvements to enhance efficiency and workflow
- Act as a liaison between departments to support effective communication and coordination
- Perform additional administrative duties as needed
- Associate degree or equivalent experience required; Bachelor’s degree preferred
- 2 years of administrative or clerical experience, ideally within higher education
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with systems such as Banner, PeopleSoft, Workday, or similar preferred
- Strong communication, organizational, and multitasking skills
- High attention to detail and ability to prioritize in a fast-paced environment
- Demonstrated professionalism, discretion, and strong customer service orientation
- Standard office setting within a higher education institution
- Opportunity may require occasional evening or weekend support
