GENERAL PURPOSE OF JOB:

The Receptionist provides general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.

STANDARD REQUIREMENTS:

Is knowledgeable of resident rights and ensures an atmosphere which allows for the privacy, dignity and well-being of all residents in a safe, secure environment

Supports and cooperates with specific procedures and programs for:

  • Safety, including universal precautions and safe work practices, established fire/safety/disaster plans, risk management, and security, report and/or correct unsafe working conditions, equipment repair and maintenance needs
  • Confidentiality of all data including resident, employee and operations data
  • Quality Improvement and compliance with all regulatory requirements
  • Compliance with current law and policy to provide a work environment free from sexual harassment and all illegal discriminatory behavior

Supports and participates in common teamwork:

  • Cooperates and works together with all co-workers
  • Uses tactful, appropriate communications in sensitive and emotional situations
  • Follows up as appropriate with supervisor, co-workers or residents regarding reported complaints, problems and concerns
  • Completes requirements for in-service training, acceptable attendance, uniform and dress codes including personal hygiene, and other work duties as assigned

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Answers telephones and directs the caller to the appropriate associate. Will transfer a caller to an associate’s voicemail if unavailable.
  • Greets and directs visitors to the company.
  • Will take and retrieve messages for various personnel.
  • Provides callers with information such as company address, directions to the company location, company fax number or internet pass-codes and other related information.
  • Receives, sorts and forwards incoming mail.
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.) as needed.
  • Assists in the ordering, receiving, stocking and distribution of office supplies.
  • Assists with other related clerical duties such as photocopying, faxing, filing, etc.
  • Maintain the Admission and Discharge Registers.
  • Maintain the Forwarding Mail list.
  • Set up and maintain current file and listing of residents and emergency phone numbers.
  • Assist residents and their families with questions and direct them to the appropriate staff as needed.

EDUCATION:

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

EXPERIENCE:

3 – 6 months of relevant experience and/or training preferred.

LANGUAGE SKILLS:

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

MATHEMATICAL SKILLS:

Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.

COMPUTER SKILLS:

Ability to use Microsoft Office products including Word, Excel, PowerPoint, etc. and other computer software programs is required.

SCHEDULE:

This is a full time position. The schedule is Monday - Thursday from 9 am to 5 pm and a double on Friday from 9am to 9pm. You get weekends off.

Job Type: Full-time

Pay: $14.00 per hour
