The Associate Registrar for Curriculum & Scheduling provides strategic leadership and operational oversight for the university’s curriculum management, academic scheduling, catalog administration, and classroom scheduling processes. This position supervises the Assistant Registrar for Scheduling and Curriculum and associated staff while ensuring the accuracy, integrity, and effectiveness of curriculum and scheduling operations. The Associate Registrar collaborates with academic leadership, enrollment management, information technology, and institutional stakeholders to support academic planning, student success, regulatory compliance, and institutional priorities.

The Associate Registrar for Curriculum & Scheduling provides strategic leadership and operational oversight for the university’s curriculum management, academic scheduling, catalog administration, and classroom scheduling processes. This position supervises the Assistant Registrar for Scheduling and Curriculum and associated staff while ensuring the accuracy, integrity, and effectiveness of curriculum and scheduling operations. The Associate Registrar collaborates with academic leadership, enrollment management, information technology, and institutional stakeholders to support academic planning, student success, regulatory compliance, and institutional priorities.
Essential Duties And Responsibilities
- Lead the administration and optimization of curriculum and scheduling technologies, including student information systems, curriculum management systems, catalog software, and classroom scheduling platforms.
- Oversee and resolve classroom and events scheduling escalations through the use of the Astra Schedule software.
- Ensure office staff are trained in the use of the software and periodically train academic department users as required. Incorporate cross-training of staff to ensure redundancy of expert knowledge in software use.
- Monitor and make recommendations on software upgrades. Increase classroom utilization of lecture classrooms and labs across the institution through the use of Astra Schedules Optimization tool.
- Leverage Astra analytics to analyze enrollment patterns, classroom utilization, course demand, and scheduling trends to support data-informed decision-making and resource allocation.
- Oversee the class scheduling of all classes required by academic units each term. Formulate a time line for the submission of the schedule, schedule proofing, and for the submission of adds, edits, deletions, and cancellations. Cross-train staff as appropriate.
- Collaborate with academic departments, colleges, enrollment management, and institutional leadership to facilitate curriculum changes, schedule development, and strategic academic planning.
- Provide strategic oversight of curriculum management processes, including course and program approvals, curriculum work flows, academic catalog production, and maintenance of course inventory data.
- Lead system implementations, upgrades, testing initiatives, process improvements, and special projects related to curriculum and scheduling operations.
- Supervise, mentor, and evaluate the Assistant Registrar for Scheduling and Curriculum and other assigned personnel; establish performance expectations, prioritize workload, and support professional development.
- Establish and maintain policies, procedures, and operational standards related to curriculum and catalog administration, course scheduling, and classroom utilization. Ensure data integrity across curriculum, course, classroom, and scheduling records; develop and implement quality-control processes and auditing procedures.
- Serve as the institutional subject matter expert for curriculum and scheduling processes, providing consultation, guidance, and change-management support to campus stakeholders while fostering continuous improvement and operational effectiveness. Develop reports, metrics, and assessments related to scheduling efficiency and classroom utilization for university leadership.
- Represent the Office of the Registrar on university committees, task forces, and cross-functional initiatives related to academic operations and student success. Perform other duties as assigned in support of the Office of the Registrar and institutional objectives.
- Masters Degree.
- Five (5) years of progressively responsible experience in Records and Registration or in areas closely relevant to the Registrar’s office or an equivalent mix of education and relevant experience in similar role.
- Three (3) years supervisory experience.
- Understanding of course inventory and curriculum management, academic scheduling, catalog administration, and classroom scheduling operations.
- Ten (10) years of progressively responsible experience in records and registration or in areas closely relevant to the Registrar’s Office.
- Five (5) years of supervisory experience.
- Experience with PeopleSoft, ImageNow, and catalog software; experience leading projects to completion.
- Excellent customer service, organizational, and interpersonal skills.
- Exceptional critical thinking skills.
- Ability to identify and implement process improvement.
- Proficiency in Windows applications.
- Demonstrated ability to communicate effectively both orally and in writing.
- Demonstrated ability to work collaboratively in a team environment and independently.
