Position Overview
We’re seeking a detail‑oriented Payroll Assistant to help manage payroll processing for multiple clients across multiple states. This role is ideal for someone who enjoys structured workflows, accuracy, and supporting small business owners with dependable payroll service.
You’ll work closely with our bookkeeping team to ensure payroll is processed correctly, deadlines are met, and compliance requirements are followed.
Key Responsibilities
- Assist with processing payroll for multiple small business clients
- Enter and verify employee hours, pay rates, deductions, and reimbursements
- Support onboarding and offboarding tasks (new hire setup, terminations, pay changes)
- Maintain payroll records and ensure data accuracy across platforms
- Monitor payroll deadlines and communicate proactively with clients
- Assist with payroll tax filings, quarterly reports, and year‑end tasks
- Help ensure compliance with Oregon and Washington payroll requirements
- Support special payroll needs such as prevailing wage, certified payroll, and multi‑state compliance
- Communicate with clients to gather missing information or clarify payroll details
- Follow established workflows and contribute to improving processes over time
Preferred Qualifications
- Experience with payroll processing (Gusto, QuickBooks Payroll, or similar)
- Understanding of payroll laws, deductions, and employer responsibilities
- Familiarity with Washington payroll compliance (including prevailing wage) is a plus
- Strong attention to detail and comfort working with numbers
- Excellent communication and organizational skills
- Ability to manage multiple deadlines across different clients
- Bilingual Spanish preferred
