We are seeking an organized, professional, and welcoming Office Manager to oversee daily administrative operations and serve as a key connection between families, staff, and leadership.
Position Summary
The Office Manager is responsible for front office operations, enrollment coordination, compliance documentation, and maintaining a professional and structured environment. This role is essential in ensuring smooth daily workflow and a positive experience for families and staff.
Key Responsibilities
Front Office & Family Support
- Welcome visitors and coordinate tours
- Serve as primary contact for current and prospective families
- Answer phones and manage email communication
- Provide friendly, solution-focused customer service
Enrollment & Compliance
- Process enrollment paperwork and maintain accurate child files
- Ensure required documentation is complete (immunizations, emergency contacts, contracts, etc.)
- Maintain organized records in compliance with licensing requirements
Administrative Support
- Assist Directors/Owners with reports and administrative projects
- Prepare forms and documentation as needed
- Support overall office organization and workflow
Facility Presentation
- Maintain a neat and welcoming front office and common areas
- Ensure family boards and communication displays are current and organized
Qualifications
- High School Diploma or equivalent (required)
- Minimum 2 years of office administration experience
- Strong organizational skills in a fast-paced environment
- Proficient in Microsoft Office and Google Workspace
- Customer service-oriented mindset
- Detail-oriented and able to handle confidential information
- Strong communication and team collaboration skills
Physical Requirements
- Ability to sit, stand, and move throughout the building
- Ability to lift up to 25 lbs occasionally
- Frequent computer and phone use
