Position Summary
As an integral member of the Advancement team, the Volunteer and Community Engagement Coordinator is responsible for fostering and managing relationships with Everstand’s stakeholders including volunteers, donors, employees, clients and community partners to support Everstand's mission.
A critical responsibility of this role is building a top-of-funnel pipeline to drive support Everstand's annual, major, and planned giving programs along with special events (including annual golf outing). This involves cultivating partnerships with non-profits, faith-based organizations such as churches and church groups, foundations, and corporations with social impact programs. By leveraging volunteerism and engaging with these community partners, the Volunteer and Community Engagement Coordinator ensure a robust foundation of support for Everstand's philanthropic goals while promoting meaningful opportunities for community involvement.

You take directions well, ask clarifying questions when needed, and run with a project while including all the right stakeholders. You are passionate about revolutionizing child welfare outcomes and supporting youth and families in the space of education, mental health, and residential services.
This is a full-time position. Days and hours of work are Monday through Friday, 9:00 a.m. to 5:00 p.m. This position is eligible to participate in Everstand’s flex schedule policy, with once-weekly telecommuting privileges, and is considered non-essential for any weather or other office closing events. Due to the nature of Development work, this position may sometimes require work outside normal business hours. Travel is required on a weekly basis. A company vehicle will be provided as needed.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, scanners, photocopiers, filing cabinets, and fax machines. Everstand is a lively, residential, and educational environment. Therefore, employees may experience conditions in which challenging behavior can be exhibited by program participants. This may include but is not limited to physical agitation, physical violence, and/or emotional outbursts.

Essential Functions

- Manage the full lifecycle of the volunteer relationship from recruitment to onboarding, training, and ongoing, strategic engagement and retention.
- Develop and implement a comprehensive Volunteer Onboarding and Training program to educate Volunteer Corps members on their critical role in supporting the successful execution of Everstand’s enrichment programs, that meets all defined safety, licensing, and accreditation standards Everstand must follow.
- Maintain thorough and accurate volunteer records using the Raiser’s Edge database, Asana, and other tools.
- Plan and execute volunteer appreciation activities and events, including the Volunteer Annual Event.
- Ensure that all volunteers have meaningful experiences and that their time/efforts/in-kind donations are deeply appreciated.
- Send clear, actionable, and engaging updates to volunteers. Document and share volunteer efforts, events, and activities for use in Everstand’s marketing efforts.
- Create and maintain the Volunteer Policy and Procedure Manual.
- With the support of the Quality Improvement (QI) team, develop and administer an annual volunteer satisfaction survey. Compile and report the results to the Senior Director of Advancement.
- Research, approach, and present to local organizations (e.g., religious, civic, corporate, and community) regarding volunteer and donor engagement opportunities at Everstand.
- Serve as the primary point of contact for campus tours in Baltimore (MD), Mechanicsburg (PA), and Martinsburg (WV), gaining in-depth knowledge of each campus’s history and programming, as well as Everstand’s overarching organizational history, to provide engaging and informative tour experiences.
- Act as the main point of contact for guest speaker requests from churches and community partners, delivering presentations and training members of the Board of Directors and Volunteer Corps to serve as guest speakers, ensuring consistent and impactful messaging about Everstand’s mission and programs.
- Develop and sustain positive, collaborative relationships with community partners and individual volunteers by creating and promoting consistent, meaningful service activities that align with Everstand’s mission.
- Build and maintain strong relationships with volunteers, ensuring the planning and execution of exceptional, engaging volunteer experiences across multiple Everstand programs and locations to foster ongoing support and meaningful connections to the organization’s mission.
- Provide training, guidance, and oversight for Everstand staff and volunteers who speak on behalf of Everstand’s programs and needs in a variety of venues and formats as members of the Everstand Speaker’s Bureau.
- Plan and implement special events as one of the main strategies to increase community engagement.
- Maintain volunteer-focused information and any Everstand wish lists for gifts-in-kind on Everstand websites.
- In partnership with the Senior Director of Advancement and Annual Giving Manager, create and implement an annual plan that solicits gifts-in-kind (e.g., Back to School supplies, Christmas holiday gifts, and ongoing needs).
- In collaboration with the Annual Giving Manager, support the planning and implementation of the annual offerings and giving campaigns with churches, church groups, and community partners.
- Partner with the Advancement Coordinator to implement a system to log gift-in-kind donations received and ensure thank you letters are sent 48 hours after a donation has been received. .
- Work in collaboration with the Senior Director of Advancement to plan and implement the organization’s annual golf outing (fundraiser)
- Partner with Everstand’s Human Resource Department to create strategies on an annual basis that will demonstrate the organization’s deep appreciation for our staff efforts and commitment to our mission. This may include food trucks on each campus compliments of Everstand on a select day, distributing gift cards (Target, Starbucks, etc.), heartfelt letter from our CEO/Board President, etc. Utilizing feedback from staff via Town Halls, etc. will greatly help in developing employee appreciation activities/strategies.
- Support the Senior Director of Advancement and Advancement Team in donor cultivation efforts and the moves management process.
- Support the creation of content for Everstand’s social media, website, and blog regarding volunteer opportunities, activities, and recognition.
- Build basic queries and run basic reports within Raiser’s Edge NXT and the Raiser’s Edge Volunteer Module.

- Support the Senior Director of Advancement in the implementation of team initiatives and KPI’s to support the organization’s long-term strategies.
- Participate in the annual budget development process for the Advancement team.
- Participate, as requested, on accreditation efforts as well as other internal workgroups.

- General understanding of moves management concepts and ability to strategically implement relationship strengthening activities in support of Annual, Major, and Planned Giving programs.
- Excellent communication/public speaking skills.
- Bachelor’s Degree.
- 2 years of nonprofit and/or volunteer management experience.
- 2 years of planning and executing smaller sized including fundraisers (golf outings, networking events, and luncheons)
- Raiser’s Edge NXT and Raiser’s Edge Volunteer Module experience plus.
- Computer literacy including Microsoft Office Suite, Asana, Zoom, and Microsoft Teams.
- Ability to pass a criminal background check.
- Ability to demonstrate the possession of a valid driver’s license prior to employment and the ability to maintain the license and operate a motor vehicle thereafter.
- Ability to pass CPS/UII background check both prior to employment and per the schedule outlined by HR thereafter.
- Ability to pass a Tuberculosis Test both prior to employment and per the schedule outlined by HR thereafter.
- Ability to pass a work-readiness physical performed by a certified medical professional both prior to employment and per the schedule outlined by HR thereafter.
- Ability to pass a Federal and State Fingerprinting Background Check both prior to employment and per the schedule outlined by HR thereafter.
- Ability to pass a drug screen via urinalysis both prior to employment and randomly thereafter.
