The Scanning Specialist is responsible for receiving, processing, scanning, and distributing incoming and outgoing mail and documents. This role plays a critical part in ensuring accurate document handling, timely distribution, and proper electronic recordkeeping. The ideal candidate is detail‑oriented, organized, dependable, and comfortable working with high volumes of paperwork and scanning equipment.
Position Details:
- Pay: $18
- Schedule: Monday-Friday 8am-4:30pm
Essential Job Duties
- Receive, sort, log, and distribute incoming mail and packages
- Prepare outgoing mail, including sorting, labeling, and coordinating shipments
- Scan documents using high‑volume scanners and index files accurately into electronic systems
- Verify document quality, ensuring scans are clear, complete, and properly classified
- File and store physical documents according to established retention policies
- Maintain confidentiality of sensitive and proprietary information
- Track and document mail and scanning activity as required
- Operate and maintain mailroom and scanning equipment, reporting issues as needed
- Assist with document retrieval requests from internal departments
- Support additional administrative or clerical tasks as assigned
Required Skills & Qualifications
- High school diploma or equivalent required
- Strong attention to detail and accuracy
- Ability to handle repetitive tasks and high volumes of documents
- Basic computer skills with the ability to learn document management systems
- Familiarity with office equipment (scanners, copiers, printers)
- Strong organizational and time management skills
Preferred Qualifications
- Previous experience in a mailroom, document scanning, or clerical role
- Experience with document imaging or records management systems
- Ability to lift and move mail bins or boxes (as required by the role)
