Responsibilities:
- Greet residents, families, visitors, and vendors in a friendly and professional manner
- Answer and direct incoming telephone calls
- Sort and distribute incoming mail
- Assist with typing letters, notices, memos, and other documents
- Maintain resident directories and office records
- Copy, scan, fax, and file documents as needed
- Assist job applicants by providing employment applications and information
- Support the Business Office and management team with administrative tasks
- Help maintain a positive and welcoming atmosphere throughout the community
Qualifications:
- High School Diploma or GED required
- Previous receptionist, customer service, or administrative experience preferred
- Strong communication and interpersonal skills
- Basic computer and office equipment proficiency
- Excellent organizational skills and attention to detail
- Ability to multitask and work independently
- Experience working with seniors is a plus, but not required
Experience
- Proven office experience or clerical experience in a fast-paced environment
- Strong computer skills including proficiency with Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools
- Excellent organizational skills with the ability to prioritize tasks efficiently
- Experience in customer service or administrative roles that involve handling sensitive information with confidentiality
- Personal assistant or office management experience that demonstrates strong time management and calendar coordination skills
