We are seeking a highly organized and proactive Administrative Coordinator to support our Design Department. This role is essential in keeping projects, documentation, and communication running smoothly between designers, project managers, and outside consultants. The ideal candidate is detail-oriented, efficient, and comfortable working in a fast-paced, creative environment.
Key Responsibilities:
- Provide administrative support to the design team, including coordinating deadlines
- Organize and maintain project files, drawings, and documentation
- Assist with project tracking, timelines, and status updates
- Prepare reports, presentations, and correspondence as needed
- Coordinate communication between internal teams and outside consultants
- Handle incoming inquiries and route information appropriately
- Support procurement processes, including tracking orders and materials
- Maintain office organization and assist with general administrative tasks
Qualifications:
- Previous administrative or coordination experience (design, construction, or related field preferred)
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- Proficiency in Microsoft Office (Word, Excel, Outlook); familiarity with design/project tools is a plus
- Ability to manage multiple priorities and meet deadlines
- High attention to detail and accuracy
- Experience supporting a design, architecture, or engineering team
- Familiarity with project management software; Monday.com
- Basic understanding of drawings, plans, or design documentation
