What You'll Do
Receptionist Duties
- Greet visitors and manage front desk operations with professionalism
- Answer and direct incoming calls; take messages and respond to inquiries
- Coordinate conference room scheduling, setup, cleanup, and catering
- Maintain cleanliness and stock supplies in shared office areas
- Liaise with IT support and vendors for equipment and maintenance issues
- Handle incoming/outgoing mail and make bank deposits as needed
- Assist with furniture setup and office organization
- Manage inventory and ordering of office supplies
- Ensure prompt and reliable attendance
- Draft and process legal documents including pleadings, motions, and disclosures
- Handle client-specific invoicing and check requests
- Manage records requests and follow-ups with providers
- Open and maintain case files in LMS and physical formats
- Support litigation team with filing, deposition binders, and research
- Organize legal materials such as records, depositions, and background documents
- Prepare and distribute BIMs for attorney review
- Submit attorney expense reimbursements
- Ensure prompt and reliable attendance
- Friendly and professional demeanor
- Strong organizational and multitasking skills
- Problem-solving mindset with attention to detail
- Ability to work under pressure and meet deadlines
- Self-motivated with a strong work ethic
- Ability to provide administrative support to all team members
- Excellent communication skills both in-person and over the phone
- High school diploma or equivalent required; associate degree preferred
- Minimum 2 years of experience in a receptionist, administrative, or customer service role
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Familiarity with multi-line phone systems and office equipment
