POSITION SUMMARY: Supports the mission of the school district by performing general secretarial tasks to support the department or building to which assigned.
ESSENTIAL FUNCTIONS:
- Provides clerical support to the supervisor and department as needed, in order to ensure reliable and accurate data essential for operations
- Answers phones and gives information to callers, takes messages or transfers calls
- Arranges meetings
- Complete forms in accordance with District procedures
- Composes, types and distributes correspondence, reports, meetings note
- Mails information
- Follows established work procedures and schedules for the office
- Maintain schedules and calendars
- Greet visitors and callers, handle their inquiries and direct them to the appropriate person
- Set up and maintain paper and electronic filing systems for records, correspondence and other material
- Maintain databases, and operate office equipment
- Performs other duties as assigned
ESSENTIAL SKILLS AND ABILIITIES:
- Ability to anticipate, initiate and follow through with duties not specifically assigned
- Ability to compose general correspondence
- Ability to evaluate and solve problems in the absence of supervisor
- Ability to execute defined work assignments
- Ability to move throughout assigned office and building
- Ability to perform necessary clerical procedures to complete assigned duties throughout assigned location
- Ability to recognize common safety and health hazards
- Ability to stoop, bend, twist, lift and move supplies, including lifting up to 15 pounds
- Ability to understand and know how to use supplies and equipment
- Possess interpersonal skills that enable the employee to interact with children, staff, parents and supervisors in a professional and courteous manner
BASIC REQUIREMENTS:
- High school diploma or GED is preferred
- One to three years of previous secretarial experience preferred
- Knowledge of office procedures and records management
- Possess computer skills
