Position Overview
The Front Desk / Data Entry Specialist provides reception, customer service, and administrative support to the Military & Family Readiness Center. This role is responsible for greeting and directing visitors, answering phone calls, scheduling clients for classes and workshops, and maintaining accurate data and reports in Air Force web-based systems, including AFFIRST and Department of Defense (DoD) Transition Assistance Program (TAP) systems.
Key Responsibilities
- Serve as the primary front desk point of contact for visitors and callers to the M&FRC.
- Answer and route incoming telephone calls; greet all customers entering the M&FRC and determine the nature of their visit.
- Direct clients to the appropriate M&FRC staff member and proactively promote awareness of M&FRC programs and services.
- Schedule clients for M&FRC classes, workshops, and TAP events and provide clear information on routine and procedural questions.
- Enter and maintain client information, TAP data, and related resources in the AFFIRST and DoD TAP web applications with at least 85% accuracy within two business days.
- Generate and submit monthly client usage and data entry reports in the format established by M&FRC management.
- Maintain the professional appearance of the front desk and waiting area, including aligning chairs and materials, monitoring publications and resources, and reporting equipment issues to management.
- Perform light housekeeping tasks at the front desk (empty personal trash, minimal vacuuming, dusting furniture) to uphold Air Force appearance standards.
- Safeguard government-furnished equipment, materials, and property; secure facilities and systems in accordance with established procedures at the end of each workday.
- Participate in required security, information assurance, and Air Force-directed training.
- Adhere to all privacy, security, and health and safety standards applicable to work on a DoD installation.
- Perform other related duties as assigned to support M&FRC operations.
Minimum Qualifications
- High school diploma or equivalent.
- At least 1 year of customer service experience in a business, office, or support environment.
- Proficiency with Microsoft Office Suite (Windows, Word, Excel, PowerPoint) and web-based applications (e.g., Microsoft Edge, Chrome).
- Strong data entry skills with attention to detail and the ability to meet accuracy and timeliness standards.
- Excellent verbal and written communication skills; ability to provide courteous, professional service to a diverse customer base.
- Basic understanding of military protocol, support organizations, and family systems in a military setting, or willingness to learn.
- Ability to work independently, follow established procedures, and use judgment to prioritize tasks and meet deadlines.
- Ability to obtain and maintain a Common Access Card (CAC), including successfully completing background checks, fingerprinting, and information assurance requirements.
Additional Requirements
- Must adhere to the Privacy Act and all applicable DoD and Air Force regulations related to handling personally identifiable information.
- Must wear appropriate business casual attire while on duty.
- Must be able to complete government-provided training on M&FRC systems and process and comply with all installation health and safety standards.
