What are the responsibilities and job description for the Executive Assistant position at Ethos Group?
Ethos Group, an award-winning, full-service strategic consulting, marketing, and communications agency, is seeking an Executive Assistant in our New York office to support and report to our Co-Founders.
The Executive Assistant plays a critical role in ensuring efficiency and organization across the agency—they must be extremely detail-oriented and solution-oriented, possess superior communication and organizational skills, and have a strong desire to learn the business. This individual will manage schedules, projects, and priorities with discretion, precision, and a proactive mindset. Ideal candidates are resourceful, highly organized self-starters who thrive in fast-paced environments and demonstrate strong judgment and consistent commitment to excellence.
Role & Responsibilities:
- Maintain and manage scheduling for the Co-Founders active calendars and maintain a well-organized system to keep them prepared and on time
- Coordinate all calls, meetings, and track any scheduling items/meetings to-be-set
- Conduct outreach, prepare detailed research/agendas, and create/send calendar invites
- Organize, prioritize, and execute projects from start to finish; manage timelines and ensure deadlines are met across high-priority, cross-functional projects; create and maintain detailed task lists and daily schedules
- Coordinate all domestic and international travel arrangements, including but not limited to managing reservations, creating detailed trip itineraries with airline travel, ground transportation and hotel accommodations
- Write and edit drafts of professional emails, agendas, meeting recaps
- Assist with day-to-day client work, including drafting internal and external materials and developing bespoke materials to support client and company needs.
- Assist with writing/editing new business and client materials including proposals, case studies and other documents
- Provide ongoing team and operational support to ensure workflows run smoothly and resources are effectively managed
- Assist in client-facing opportunities and engagements as needed, including preparation, scheduling, and on-site or virtual support to ensure seamless representation and execution
- Coordinate “special projects” and additional responsibilities as needed (i.e. running errands, making reservations, and other ad hoc requests)
- Assist with HR and Operational duties as needed
Key Attributes Qualifications:
- Exceptional interpersonal, managerial, verbal and written communications skills
- Ability to remain solution-oriented, flexible, proactive, resourceful, and efficient while anticipating and addressing the Co-Founders’ needs
- Strong work ethic, ability to work in a fast-paced environment, willingness to collaborate and availability after hours as needed
- 1-3 years as an executive and/or personal assistant at a talent agency, public relations firm, management company, or sports/entertainment-adjacent company
- BA or BS in Communications, Marketing, or related field
- Passion and curiosity for the Sports and Entertainment Industries
- Operate with a professional demeanor and high level of discretion
