What are the responsibilities and job description for the Office Admin position at Eternity Homecare?

Qualifications:

High School diploma or GED and two years related experience and/or training; or equivalent combination of education and experience.  Bachelor degree preferred.

 

Requires proficiency of multi-line phone system, healthcare management system, the internet and desktop application (word processing - Office, Excel, and Power Point), and computer skills. Fluency in Hmong and English is a must.

 

Must possess and demonstrate excellent communication skills, teamwork, multi-tasks as well as positive professional, business image.

 

Customer services and support experiences with three to five years preferred.

 

Essential Functions and Responsibilities:

Duties:

  • Maintains accuracy and integrity of the scheduling system.
  • Builds professional relationships with patients and families to ensure service excellence.
  • Audit time-data for time worked and signature before passing on to payroll/billing department.
  • Operates multi-line telephone console to receive and direct incoming calls, establishes conference calls and provides general information for callers. Obtains caller’s name and arranges for an appointment, if necessary, with person called upon.
  • Directs caller to destination, records name, time of call, nature of business, and person called with date and time.
  • Greets visitors, determines the nature of their business and directs them to the proper staff or individual.
  • General clerical work and others as assigned and required from other team members
  • Assist with filing duties and a variety of other clerical duties as necessary.
  • Types memos, correspondence, reports, and other documents.
  • Collects and distributes mail and messages.
  • Intake prospects complete information and follow up to make sure cases are closed.
  • Inventories, orders, organize, and stores office supplies.
  • Schedule clinical workflow with nurses internal and external
  • Coordinate members and staff appointment and time sheets.
  • Filing documentation and take charge of office supplies and inventories
  • Punctuation and friendliness are a must

 

 

 

Knowledge, Skills, Abilities:

  • In-depth understanding of long-term care environment, particularly home care.
  • Exceptionally strong interpersonal and communication skills.
  • Demonstrate self-motivation, self-direction, organizational skills, flexibility, and ability to operate effectively under a high level of stress.
  • Must be able to follow verbal and written instructions and document services provided.
  • Ability to speak clearly and ability to convey information effectively.
  • Ability to actively listen; giving full attention to what other people are saying, taking the time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Able to work under pressure and in situations that demand patience, tact, stamina, and endurance.
  • Strong organizational and interpersonal skills.
  • Experience with customer service and multi-line phones, with a demonstration to service to actively meet people’s needs.
  • Excellent telephone etiquette and communication skills are necessary.
  • Familiarity with computers and other office equipment.
  • Strong customer service skills; organizational skills.
  • Independent thinker with the ability for flexibility and creativity in finding and solving problems.
  • A strong work ethic is necessary to focus on initiative-driven deliverables while maintaining goals of the business.
  • Ability to learn from experiences and apply learned procedures appropriate for new.
  • Very high attention to detail and powerful organizational skills.
  • Strong ability to effectively multi-task.

 

Position Physical Demands:

Walking, sitting, and standing with lifting limited to files and records typically not expected to exceed 50 pounds in weight. Extended time at a computer work screen and on the telephone so vision and hearing skills required. Based upon position, visual, hearing and speech acuity must be exceptional.
