We are seeking a highly reliable and detail-driven HR Generalist to support all transactional HR operations. The role is responsible for high-volume hiring, onboarding, offboarding, personnel changes, HRIS updates, and compliance-focused documentation (350 employees).
Recruitment & Hiring Execution
- Post jobs across multiple platforms and manage applicant flow daily
- Pre-screen applicants and schedule interviews with hiring managers
- Conduct reference checks, background checks, and credential verification
- Generate and issue offer letters, track acceptance, and ensure onboarding readiness
- Maintain hiring logs, hiring packets, and tracking of required documentation
Onboarding Administration
- Schedule and conduct onboarding sessions for all new hires
- Ensure completion and accurate entry of all new hire documents (I-9, W-4, wage notices, etc.)
- Create and activate personnel profiles in ADP Workforce Now
- Coordinate email/system access setup with IT; follow up to ensure activation
- Enter benefits eligibility data, job codes, funding codes, work location, union status, and salary details
- Track and enforce deadlines for all missing documents during onboarding
Offboarding Administration
- Process resignations and terminations in ADP and notify payroll timely
- Issue separation documents and ensure return of equipment/access items
- Remove system access; deactivate credentials and benefits coverage
- Create and ensure completeness of termination files for audit readiness
- Track exit interviews and maintain reporting for turnover metrics
Personnel Change Management (PCF) – Full Ownership
- Prepare, route, track, and file Personnel Change Forms for promotions, transfers, pay changes, funding updates, etc.
- Ensure all required signatures (Director, Program, Payroll, HR) are obtained
- Validate accuracy of job codes, funding sources, grant details, and compensation changes
- Enter all approved changes into ADP and follow up until fully executed
HRIS & Data Integrity
- Maintain complete and accurate employee records across all status activities
- Process position changes, pay adjustments, location changes, leaves, and job codes
- Run routine data checks to ensure clean syncing between HR, payroll, and benefits
- Support staff in accessing their ADP profiles and updating personal information
Personnel File Maintenance
- Maintain digital and paper personnel files in compliance with federal and state retention standards
- Conduct continuous audits of I-9s, licenses, certifications, and background check renewals
- Track, update, and file annual evaluations, mandatory trainings, and signature acknowledgments
- Ensure secure document storage and confidentiality of all records
Benefits Administration
- Submit enrollments, changes, and terminations to providers and verify accuracy
- Track eligibility dates and ensure timely submission of all benefits actions
- Support employees with benefits access, coverage changes, and basic inquiries
- Maintain benefits documentation in personnel files and HRIS
Compliance, Reporting & Operations
- Ensure adherence to DOL, NYC/NYS labor standards and contractual funding rules
- Support audits (internal, state, city, federal funders) by providing required documentation
- Track probation completion dates, evaluation deadlines, and certification expirations
- Maintain accurate headcount reports and new hire/termination logs
Requirements:
Associates or BA Degree
Minimum 3 years Human Resources experience
ADP experience
