Role Description The Space Management Coordinator is a full-time, on-site role based in Cambridge, MA. In this position, the coordinator supports the planning, allocation, and optimization of workspace, including offices, labs, meeting rooms, and shared spaces to align with client needs and organizational standards. Day-to-day responsibilities include maintaining accurate space data and floor plans, updating occupancy and seating assignments, and coordinating moves, adds, and changes with internal stakeholders and external partners. The role collaborates closely with facilities, workplace experience, and client teams to support space utilization analysis, reporting, and forecasting, while helping to ensure compliance with safety, accessibility, and ESG-related requirements. The coordinator also assists with space-related communications, supports onsite walkthroughs and audits, and helps implement continuous improvements that enhance the overall workplace experience.
Qualifications
- Experience in space planning, facilities coordination, workplace management, or a related field, preferably in a corporate, life sciences, or campus environment.
- Proficiency with space management tools and technologies (e.g., CAFM/IWMS systems, CAD or floor plan software, occupancy tracking tools, and basic reporting in spreadsheets).
- Strong analytical and organizational skills, including the ability to interpret space data, create reports, and support data-driven recommendations for space utilization.
- Effective communication and collaboration skills to partner with facilities, workplace experience teams, vendors, and client stakeholders at multiple levels.
- Detail-oriented approach with a focus on accuracy in documentation, floor plans, seating charts, and move coordination activities.
- Demonstrated commitment to safety, sustainability, and user experience in workplace or facilities environments.
- Ability to work on-site in Cambridge, MA, manage multiple priorities, and adapt to evolving client needs in a fast-paced setting.
