The Administrative Assistant acts as the initial point of contact within Eating Recovery Center and Pathlight for patients and the public. This includes greeting and assisting patients, families and visitors as well as performing a number of administrative tasks to support the care team.
Essential duties and responsibilities:
- Based on specific business needs at the assigned the location, the Administrative Assistant performs necessary administrative duties, which may include:
- Greeting/assisting visitors entering the facility
- Obtaining signed confidentiality statements
- Issues vendor badges (if needed) and informs appropriate staff of arrival
- Answers phones and directs calls to appropriate person
- Assisting with patient admissions
- Admitting the patient in medical records system
- Adding treatment team members
- Helping patients register in the portal
- Scanning admission documents
- Issuing admission day schedules
- Uploading appropriate forms, folder prepping, and printing schedules
- Sending welcome emails and other information to patients or families
- Maintaining supply of patient/family binders and discharge packets
- Scheduling meeting spaces
- Ensuring staff breakrooms are stocked, lobby and common areas are tidy
- Overseeing of incoming and outgoing mail/packages
- Coordinating transportation
- Supporting physicians and clinical teams in various capacities which may include scheduling rounds, individual patient appointments, and doctor-to-doctor calls
- Completing and reviewing admissions forms with the patient during admission, including obtaining Releases of Information
- Assisting with unit schedules
- Pulling patients on the units for virtual doc appointments, setting up I-Pad (if applicable)
- Assisting with new teammate orientation
- Preparing and submitting patient logs
- Scanning documents into the medical records system
Must haves:
- High School or GED (Required)
- Exceptional professionalism, interpersonal and organizational skills (Required)
- Ability to maintain confidentially and protect confidential information (Required)
Bonus qualities:
- Bachelor's degree in healthcare, business or related field (Preferred)
The compensation range for this position is based upon candidate experience and market expectations.
