Equine Advocates is a national non-profit organization. We focus our work on rescue, sanctuary, education, and advocacy. Our equine sanctuary in Chatham, New York, is home to 80 rescued and retired horses, ponies, donkeys, and mules. We are seeking applicants who have compassion for animals.

Office Manager/Bookkeeper duties include:
Bookkeeping
• QuickBooks (QB) entries, including deposits, journal entries, and check writing, monitoring account balances
• Review all invoices. Prepare spreadsheet for all credit card invoices with receipts.
• Bank and Investment Account reconciliations
• Oversee all monthly/quarterly automatic credit card donations and contact those donors when credit cards have expired or failed to process. Update information online and in DonorPerfect
• Process all credit card donations that come in the mail or in person
• Prepare cash deposits
• Reconcile all website donations by Credit Card or by PayPal
• Print Web Donations and contact those that fail
Payroll
• Process weekly payroll through ADP
• Calculate hourly staff time cards
• Record sick & vacation
Office Management
• Pick up and drop off mail at post office in the AM daily
• Open mail and record daily counts. Sort, batch, and log donations
• Maintain all office and cleaning supplies and order as needed
• Assist in data entry into our donor database.
• File retention and disposal.
• Update/Maintain Procedural Manual for all office processes
Other Responsibilities
• Assist with Humane Education classes
• Assist with Public Open Days, including set up and close up. Ensure that all materials/signage, etc., are ready before the Open Day
• Schedule and oversee Community Service projects
• Liaison with visitors and assist with group tours
• Give sanctuary tours
• Assist in preparation for and work on the Annual Gala and other events
• Volunteer Liaison. Set up interviews with the Equine Care Manager and yourself
• Other duties as needed
Job type: Full-time, on-site (This is not a remote position)
Pay: $50,000 per year
