Responsibilities
Finance (Primary Focus)
- Lead budgeting, forecasting, cash flow, AR/AP, and owner payments.
- Prepare weekly financial summaries (bank balances, cash-in/cash-out).
- Own monthly P&L reporting and variance analysis for the company and key departments.
- Partner with external accountants on quarterly taxes, annual filings, and compliance.
- Maintain financial policies, controls, and documentation.
- Review vendor contracts and support cost-saving initiatives.
- Assist with compensation structures, commission updates, and agreement templates.
Operations & Facilities (Secondary Focus)
- Manage office facilities, leases, equipment, and vendor relationships.
- Oversee procurement, contracts, and service performance.
- Supervise administrative staff across offices to ensure consistent support.
- Maintain compliance with licensing, fair housing, insurance, and NYC regulations.
- Oversee risk management including vendor COIs, safety protocols, and insurance renewals.
- Streamline workflows to reduce bottlenecks and improve cross-team coordination.
GROWTH AREA (Phased In Based on Experience)
- Technology & Systems (Strong Plus)
- Coordinate IT support and infrastructure with external providers.
- Manage brokerage systems (CRM, transaction management, listing tools).
- Evaluate new tools to improve efficiency (automation, dashboards, AI).
- Support data security requirements including SHIELD Act compliance.
Leadership & Collaboration
- Deliver monthly updates on financial and operational performance.
- Track KPIs across finance, operations, and administrative functions.
- Lead cross-department projects such as system improvements, office build-outs, or compliance updates.
- Conduct workflow audits and recommend operational enhancements.
- Support development and accountability across the finance, admin, and operations teams.

Pay range and compensation package
$120,000-$130,000
