SUMMARY
The Payroll Coordinator will assist the Payroll Manager in ensuring accurate and timely payroll processing for the firm. This role involves supporting payroll-related functions, maintaining compliance with tax and labor regulations, and handling payroll inquiries from employees. The Payroll Coordinator will collaborate with the Human Resources and Finance teams to ensure seamless payroll operations, and reporting.
Responsibilities:
Payroll Support & Administration
- Assist the Payroll Manager with the preparation and review of payroll data for accuracy.
- Utilize ADP Workforce Now to input, verify, and audit payroll-related data.
- Verify timesheets are in compliance with firm policies.
- Support the resolution of payroll discrepancies and employee payroll inquiries.
- Assist in maintaining payroll records and documentation for compliance and audits.
- Coordinate with Human Resources to ensure accurate employee data updates, including salary changes and benefit deductions.
Compliance & Reporting
- Assist in preparing payroll-related reports for management and audits.
- Help ensure compliance with federal, state, and local wage and tax regulations.
- Support the year-end payroll processing, including W-2 distribution and reconciliations.
Benefits & Deductions Support
- Assist in administering payroll deductions, including 401(k) contributions, health insurance, and voluntary benefits.
- Help process garnishments, child support orders, and other legal wage assignments.
- Work with the Benefits team to ensure payroll deductions align with benefit elections.
Employee Support & Communication
- Respond to payroll-related inquiries and provide employees with necessary documentation.
- Assist employees with direct deposit enrollment, payroll self-service portal on ADP Workforce Now, and tax withholding updates.
- Educate employees on payroll policies and procedures as needed.
System & Process Improvement
- Maintain and update payroll system data, including employee records.
- Assist in identifying opportunities for payroll process improvement and automation.
- Collaborate with Human Resources and IT teams to enhance payroll software functionality.
Education Required:
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
- 1-3 years of payroll support experience preferably within a law firm or professional services environment.
- Familiarity with payroll software such as ADP Workforce Now or similar systems.
Experience Required:
- Familiarity with multi-state payroll processing.
- General understanding of payroll laws, tax regulations, and compliance requirements.
- Proficiency in Microsoft Office Suite, especially Excel.
- Strong attention to detail and organizational skills.
- Excellent verbal and written communication skills.
- Ability to handle confidential and sensitive information with discretion.
- Strong ability to prioritize tasks and adapt to last-minute changes.
- Thrives in high-pressure environments while maintaining efficiency and focus.
Physical Requirements:
Office setting with extended periods of sitting and computer use.
The expected salary range for this position ranges from $79,000-$85,000. It is not typical for offers to be made at or near the top of the range. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, licensure or certifications obtained. Market and Firm factors are also considered. In addition to the base salary and a generous employee benefits package, successful candidates are eligible to receive a discretionary bonus.
