Minimum Qualifications:
- Must possess a high school education. College and/or secretarial training program is desirable.
- Must be highly organized with a strong attention to detail.
- Must possess excellent business grammar and communication skills.
- Must have knowledge of Microsoft Office Suite and proficient use of the internet.
- Has excellent interpersonal skills, organization and record keeping skills.
- Experience working with senior adults is preferred.
- Has previous general office and/or sales experience preferred.
- Is computer literate.
- Is able to read, write, and communicate effectively in the English language. Is able to see and hear, with or without reasonable accommodation, so that the essential functions of this position may be fully met.
- Able and willing to work independently with flexibility and integrity, as well as effectively and harmoniously with team members, residents, family members, volunteers, government agencies/personnel, and the interdisciplinary team.
- Is able to make independent decisions when circumstances warrant such action.
- Is able to deal tactfully with team members, residents, family members, visitors, government agencies and the general public.
- Is able to plan, organize, develop, implement, and interpret the programs, goals, objectives, policies, and procedures of this Community.
- Must be fully up-to-date with required vaccinations.
As an Administrative Assistant & Move-In Coordinator you can expect to:
- Provides daily support to Director of Community Relations to include, but not limited to, calendar management, maintaining meeting minutes, managing RSVPs for events, scheduling caterings for events, booking meeting room reservations, organizing and assisting with maintenance of Director of Community Relation’s filing system, mail retrievals, and other administrative duties as assigned.
- Performs general secretarial and administrative duties as required or directed in support of the administrative functions of Community Relations and processes with the community.
- Takes the initiative to make the working environment more effective. Is creative in finding ways to make things flow more smoothly. Consults with manager on proposed new ideas and processes.
- Receives inquiries from residents and staff and releases information in accordance with established policies and procedures.
- Meets with depositors to assist in the selection of limited optional modifications to be completed at depositor’s expense 30 days before move-in or after moving into their apartment. Maintains accurate records of all selections and processes work orders.
- Ensures that depositor understands that all expenses incurred for pre-approved optional modifications are the depositor’s responsibility and ERS assumes no responsibility for these expenses. Helps oversee contractors abide by ERS’s Contractor Guidelines.
- Develops appropriate relationships with depositors and partners with all ERS team members and processes to ensure a smooth and safe transition for the residents.
- Serves as a liaison between Deupree House and the future residents prior to their move-in.
- Ensures the readiness of the residence before move-in.
- Works within marketing database, managing lead information, mailing lists, and reports.
- Manages mailing of brochures and promotional materials to prospects.
- Manages details, assists, and supports the marketing team with other marketing-related activities, including but not limited to lunches, dinners, tours, events, managing RSVPs, and telephone support.
- Serves on various committees of the Community as necessary or requested.
- Attends and participates in workshops, seminars, etc. to keep up to date with current trends, as well as to maintain a professional status.
- Obtains contracted housekeeping services for open apartments.
- Assists with current resident’s internal moves & apartment modifications. Researches sources for special orders and purchases/arranges deliveries.
