Minimum Qualifications:
- High school or GED required.
- A minimum of two years apartment leasing experience required.
- Knowledge of HUD, CMHA, and tax credit regulations preferred.
- Prior customer service or administrative experience preferred.
- Excellent business grammar and communication skills.
- Has a passion to work with Elders.
- Has the ability to maintain confidentiality.
- Experience with Microsoft Office suite required, including Word, Excel and Outlook, and have a high level of accuracy in data entry.
- Moves packages and supplies weighing up to 25 lbs on a regular basis and up to 50 lbs on an occasional basis.
- Is able to read, write, speak and communicate effectively in the English language; has the ability to see and hear or use prosthetics that will enable these senses to function adequately to ensure that the essential functions of the position can be fully met.
- Is able to relate to and deal tactfully with team members across multiple processes, have strong interpersonal skills and maintain good working relationships with team members, residents, family members, visitors, government agencies, and the general public.
- Plans, organizes and executes 1-2 monthly activities for residents and assists in the holiday celebrations for residents.
As a Leasing Administrative Coordinator you can expect to:
- Markets the communities in our target area; maintains census and waitlist to ensure occupancy levels are maintained at budgeted levels. Manages the waitlist to include processing applications and giving tours.
- Assists the Community Manager with renting the apartments to meet or exceed occupancy goals. This includes, but is not limited to gathering required verifications, performing interviews and responding to mailing and phone calls. Obtains appropriate signatures and documentation related to the move in.
- Is familiar with all HUD, LIHTC, 811, CMHA and HOME regulations ensuring that only qualified individuals are admitted into the community.
- Prepares move in packets and resident handbooks, including copying forms as needed.
- Assists walk-in applicants with completing the application as needed.
- Creates and maintains an atmosphere of warmth, welcome and positive emphasis. Ensures guests/visitors abide by existing rules and reports suspicious persons/information to the Community Manager.
- Receives resident rent payments and enters rent payments in OneSite and prepares deposits for both Cincinnati properties.
- Maintains the census report for all communities.
- Takes an active role as part of the administration team, helping with all administrative tasks when necessary or as assigned. These may include filing, copying, mailings, composing and typing confidential/medical material, formatting/revising existing documents using the computer.
- Operates copier, postage machine, fax machine, laminating machine and paper shredder. Maintains and reports any equipment malfunctions to the Community Manager, or places service calls as requested.
- Assists in answering the telephone, determining the nature of the call and directing the caller to the appropriate person.
- Adheres to all of ERS’s policies and procedures including our safety and Corporate Compliance programs.
