Our team is looking to add a management-level supervisor to collaborate with the COO and owners to motivate staff, promote patient retention, enhance the work culture, and assist in our growth plans for the future.
Hours for this position:
Monday: 8:30 AM–12:30 PM and 1:30 PM–5:00 PM
Tuesday: 8:30 AM–12:30 PM and 1:30 PM–7:00 PM
Wednesday: 8:30 AM–12:30 PM and 1:30 PM–7:00 PM
Thursday: 8:30 AM–12:30 PM and 1:30 PM–5:00 PM
Friday: 8:30 AM–2:00 PM

Duties may include, but are not limited to:
- Oversee the day-to-day operations and flow of the medical office to ensure everything runs smoothly
- Work directly with the COO, owners, and providers to ensure seamless patient experiences
- Lead with empathy and accountability, setting the tone for exceptional service and teamwork
- Train, mentor, and support team members through ongoing development, one-on-one meetings, and continuous training
- Conduct weekly “pow-wows” with each department to check in, assess needs, and recognize achievements
- Hold monthly staff meetings to promote communication, celebrate success, and address opportunities for improvement
- Assist with the staff review process and employee development plans
- Schedule and oversee birthday and work-anniversary recognition to foster a culture of appreciation
- Assist with recruiting, including reviewing interview videos and conducting in-person interviews
- Assist with onboarding and training new hires to maintain consistency and quality across departments
- Schedule and coordinate quarterly out-of-office team-building activities
- Monitor inventory and manage ordering for all medical and office supplies
- Handle invoices and financial reconciliation from pharmacies
- Troubleshoot hardware and software issues to minimize downtime and improve office efficiency
- Document key matters, including staff memos, employee infractions, office policies, meetings, and reviews
- Enforce company policies with fairness, consistency, and professionalism
- Partner with staff to enhance patient satisfaction and retention through education and authentic service
- Hold staff accountable for disciplinary action and policy infractions when necessary
- Approve and cover employee time-off requests and fill in for call-outs when needed
- Assist with marketing initiatives and campaign implementation
- Audit monthly departmental reports for balances due, unallocated payments, and other reconciliations
- Run weekly and monthly reports for patients needing follow-ups and create email blasts when needed
- Draft and maintain training manuals, checklists, and procedural guides
- Assist with scheduling policies, updates, and retraining
- Help implement new policies and maintain weekly work schedules
- Monitor administrative and clinical staff performance, offering coaching, recognition, or corrective action as needed
- Continuously evaluate office systems for efficiency and recommend improvements
