Job Summary
We are seeking a dynamic and highly organized Office Assistant to join our team! In this vital role, you will serve as the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and attention to detail will support administrative functions, manage front desk responsibilities, and provide exceptional customer service. Bilingual skills are a plus, as you will communicate effectively with diverse clients and team members. Duties

  • Greet visitors and clients at the front desk with professionalism and warmth, managing multi-line phone systems with excellent phone etiquette
  • Handle incoming calls, direct inquiries, and provide prompt customer support using strong communication skills
  • Manage calendar appointments, schedule meetings, and coordinate events using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping
  • Support office management activities including supply ordering, inventory tracking, and maintaining office equipment
  • Provide clerical support such as typing correspondence, preparing reports, and managing email communications

Experience

  • Prior office experience or administrative support roles demonstrating strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with multi-line phone systems and phone etiquette in a professional setting
  • Bilingual abilities preferred to enhance communication with diverse clients and team members
  • Knowledge of QuickBooks or bookkeeping software is advantageous
  • Demonstrated ability to handle data entry accurately while managing multiple tasks efficiently
  • Personal assistant or medical/dental receptionist experience is a plus but not required
