We are seeking a Service Administrative Assistant to support our Service Department by ensuring accurate documentation, smooth workflow, and compliance with company standards.
The Service Administrative Assistant will provide administrative and clerical support to the Service Department. This role requires strong attention to detail, organizational skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is dependable, process-driven, and able to maintain accurate records that contribute to the overall success of service operations.
Specific Responsibilities:
- Customer Communication: Serve as the main point of contact for customers, addressing service inquiries, scheduling requests, and follow-ups.
- Work Order Management: Create, update, and track service work orders, ensuring all job details are accurately recorded and completed on time.
- Coordination with Technicians: Maintain constant communication with field technicians, providing job details, updates, and necessary support.
- Billing & Documentation: As needed, assist with invoicing, job costing, and maintaining accurate service records.
- Compliance & Safety: Ensure that service operations comply with company policies, industry regulations, and safety protocols.
- Filing Systems Management: Organize, update, and maintain accurate records for easy retrieval and reference.
- Data Entry & Maintenance: Enter, update, and maintain information in the service database to ensure accuracy and completeness.
Skills and Qualification:
- Education: High school diploma or equivalent (Associate's or Bachelor's degree in Business Administration or related field is a plus).
- Experience: Minimum of 0-2 years in service coordination, dispatching, or administrative roles, preferably in an electrical contracting environment.
- Technical Proficiency: Familiarity with scheduling software, CRM tools, and electrical service operations.
- Communication Skills: Strong verbal and written communication skills with a customer-focused approach.
- Organizational Abilities: Ability to manage multiple tasks, prioritize, and ensure timely job completion.
- Problem-Solving Skills: Quick decision-making and adaptability in a fast-paced service environment.
- Attention to Detail: High level of accuracy in work orders, invoicing, and documentation.
- Team Player: Ability to collaborate effectively with technicians, customers, and internal departments.
