The Patient Access Supervisor oversees front-end operations for a busy ENT clinic, ensuring an efficient, patient-centered experience from appointment scheduling through check-in, insurance verification, and registration. This role supervises patient access staff, ensures compliance with payer and regulatory requirements, and works closely with clinical and billing teams to optimize patient flow and revenue integrity.
Key Responsibilities
Supervision & Leadership

Supervise, train, schedule, and evaluate Patient Access Representatives

Ensure adequate front-desk coverage to support clinic volume

Provide coaching, performance feedback, and corrective action as needed

Foster a culture of professionalism, empathy, and service excellence
Patient Access Operations

Oversee appointment scheduling, referrals, and prior authorizations specific to ENT services (audiology, procedures, surgeries, imaging, etc.)

Ensure accurate patient registration, demographic capture, and insurance verification

Monitor eligibility, benefits, copays, deductibles, and payment collection processes

Resolve complex patient access issues and escalated patient concerns
Revenue Cycle & Compliance

Ensure compliance with payer requirements, HIPAA, and clinic policies

Reduce registration errors that lead to claim denials

Collaborate with billing and coding teams to ensure clean claims

Monitor front-end key performance indicators (KPIs) such as authorization turnaround and check-in accuracy
Process Improvement & Reporting

Identify workflow inefficiencies and implement process improvements

Maintain training materials and standard operating procedures

Generate and review reports related to productivity, quality, and patient access metrics

Participate in audits and performance improvement initiatives
Collaboration

Coordinate with providers, nurses, audiologists, and surgical coordinators

Support clinic growth initiatives, including new providers and service lines
Qualifications
Education & Experience

High school diploma or equivalent required; associate or bachelors degree preferred

Minimum 35 years of patient access, front desk, or registration experience in a medical clinic

At least 12 years of supervisory or leadership experience preferred
