Role Description The Intake Specialist is a full-time, on-site role based in Chattanooga, TN. This position is responsible for being the first point of contact for prospective clients, gathering essential case information through phone calls, emails, and in-person meetings. Day-to-day tasks include conducting detailed client intake interviews, entering and updating data in case management systems, and verifying basic insurance information and other relevant documentation. The Intake Specialist will triage and prioritize inquiries, schedule consultations, and communicate closely with attorneys and staff to ensure smooth case handoffs. The role also includes providing professional, empathetic customer service, maintaining confidentiality, and following established intake procedures and compliance guidelines.
Key Responsibilities
- Answer inbound calls, web leads, referrals, and chats with professionalism and compassion
- Conduct structured intake interviews and document all case details accurately
- Enter and manage leads in lead management system (Lead Docket); maintain timely follow-up
- Send and assist clients with required documents (retainers, authorizations, questionnaires)
- Open new cases and coordinate initial information with case managers
- Uphold confidentiality, HIPAA compliance, and firm standards
- Collaborate with attorneys and staff to ensure seamless onboarding
Qualifications
- Experience in personal injury, legal intake, or legal assisting preferred
- Excellent communication and active listening skills
- High attention to detail and strong data-entry accuracy
- Ability to multitask in a fast-paced environment
- Familiarity with Lead Docket, File Vine, or similar systems is a plus
- Empathy, patience, and professionalism with injured or distressed individuals
Educational/Experience Requirements
· An Associates or Bachelors college degree is preferred.
