The Harvest Office Assistant plays a key role in supporting daily operations during the harvest season. This position serves as a central point of communication for employees, supervisors, and management, while ensuring efficient office coordination and compliance with company policies and state regulations. The ideal candidate is organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities:
- Answer and route incoming phone calls in a professional and timely manner.
- Respond to employee inquiries and provide support throughout the shift.
- Relay messages accurately to managers, supervisors, HR, and office personnel.
- Greet employees and assist with clock-in procedures upon arrival.
- Coordinate and monitor employee break rotations in compliance with Washington State labor laws and company minor variance guidelines.
- Maintain cleanliness and organization of the harvest office, lunchroom, and restrooms; restock supplies as needed.
- Enforce company policies, including COVID-19 safety protocols and Good Manufacturing Practices (GMPs).
- Provide verbal and written translation support for supervisors, managers, and HR, as needed.
- Complete daily administrative paperwork and maintain clear communication with HR and leadership teams.
- Assist HR with seasonal employee onboarding and orientation processes.
- Coordinate and schedule employee training sessions.
- Support shift start-up and close-out procedures, including preparation of required documentation and materials.
- Minimum of 1 year of experience in a harvest or production facility preferred.
- Proven ability to handle confidential information with discretion and sound judgment.
- Strong interpersonal, written, and verbal communication skills in English; bilingual proficiency (English/Spanish or English/Punjabi) preferred.
- Ability to work effectively under pressure, meet deadlines, and maintain a positive, professional demeanor.
- Proficiency in Microsoft Office and general office equipment (e.g., printers, copiers, scanners, fax machines).
- Strong attention to detail and accuracy.
- Team-oriented mindset with the ability to work independently when needed.
