About the Role


The Account Management & Facilitation Representative organizes the physical and electronic movement of company inventory from purchase order receipt through customer delivery. This department is the backbone of the company’s operations, translating information from the outside and inside sales teams into executed transactions and delivering finalized data to the accounting team for processing. The role requires high organization, strong attention to detail, and the ability to thrive in a fast-paced environment. Evening and weekend work is often required due to the demands of the oil and gas industry.


Responsibilities


  • Organize the physical and electronic movement of inventory, serving as the operational link between sales and accounting, and managing customer relationships.
  • Serve as the operational link between outside sales, inside sales, and accounting, ensuring information flows accurately and efficiently from initial order through final processing.
  • Build working relationships with customers.
  • Manage account facilitation for specific customers through post-purchasing yard-to-yard transfer, customer release, customer shipment, and well return stages.
  • Coordinate vendor and customer interactions related to inventory movement and order execution.
  • Organize trucks for yard-to-yard and yard-to-wellsite movement.
  • Work closely with customers on schedules and demand planning, organizing all deliveries to meet their timelines.
  • Coordinate with outside sales and inventory accounting teams to ensure timely, accurate processing, scheduling, and release of product.
  • Communicate frequently with outside sales and inventory accounting teams on customer information, including special needs (accessories, length or mill restrictions), order details, pricing, delivery, status, claims, and market information.
  • Proactively anticipate customer needs and resolve issues.
  • Work closely with Operations on product availability and order maintenance.
  • Handle high volumes of electronic paperwork that must be organized, stored, and shared with defined groups.
  • Prepare quotes when required (rare but occasional).
  • Manage inventory for assigned customer accounts.
  • Operate in a FIFO (first-in, first-out) method for moving inventory.
  • Maintain accurate, real-time records of inventory status and movement.
  • Validate product availability for shipment in real time.
  • Assist with inventory reconciliation through routine audits and individual or team projects.
  • Maintain working knowledge of current inventory across multiple standards — size, grade, weight, length, joint, tons, metric tons, outside diameter, etc.



Qualifications


  • Minimum 5 years of experience in a similar role (required).
  • Bachelor’s degree preferred but not required.
  • Strong attention to detail and exceptional organizational skills.
  • Ability to manage high volumes of information and documentation accurately.
  • Availability to work evenings and weekends as required by industry demands.
  • Ability to learn and use company-specific software.



Required Skills


  • Proficiency with the Microsoft Office suite required, with strong Excel skills (pivot tables, lookups, and data management).
  • Experience with Microsoft Dynamics Navision (NAV) or Business Central is a plus.
  • Familiarity with Microsoft Outlook, Teams, and SharePoint/OneDrive for communication, collaboration, and document management.
  • Comfort working with ERP and inventory management systems, with the ability to quickly learn new platforms.
  • Basic proficiency with PDF tools (Adobe Acrobat or equivalent) for handling electronic paperwork.
  • Experience with inventory management systems.
  • Strong communication and interpersonal skills.
