Location: ECA’s office in Newark, Delaware. Hybrid working virtually is possible when office volume permits

Energy Coordinating Agency (ECA) is a 501(c) (3) nonprofit organization whose mission is to help people conserve energy and promote a sustainable and socially equitable energy future for all. Since 1984, ECA has led the design and implementation of high-quality energy conservation, education, and home repair initiatives to eliminate energy burden and stabilize low-income families in their homes and communities.
The LIHEAP Office Manager manages daily office operations to ensure maximum efficiency, policy compliance, and exceptional client service. This role serves as the central hub for department communications, scheduling, and data tracking, while providing critical preliminary processing support for utility assistance programs like LIHEAP and CRISIS
Duties and Responsibilities:
· Oversee the general administrative functions and activities of the office.
· Reach out to clients to seek corrections/substitutions as necessary per case manager/director’s request.
· Maintain SAS hotline call spreadsheet.
· Respond to SAS messages from the call center and provide a summary of resolutions.
· Respond to all messages left in the general mailbox and email. Forward any urgent requests to the manager.
· And all other duties as required to ensure an efficient department.
Qualifications and Skills:
· Strong client services and communication skills
· knowledge of low-income communities across Delaware preferred.
· At least 4 years’ experience in social service, preferably in the energy services field
· Appropriate business communication skills.
· Experience working with databases, excel spreadsheet, and word document on the computer
· Good people skills around coaching, training, and motivation
· H.S. degree required; some college / bachelor’s degree preferred. Relevant experience in lieu of degree acceptable.
· Directs office activities to maintain efficiency and compliance with company policies.
· Receive LIHEAP/CRISIS applications from the mail, date stamp and give them to Case Manager.
· Review applications to ensure all documentation is present, especially for walk-in clients if an item is missing indicate that in the missing documentation letter, they can choose to come back on walk-in days or make an appointment.
· Schedule all Intake Specialist appointments.
· Maintain daily sign-in sheet
· Maintain Fan/blanket distribution spreadsheet
