Energy Coordinating Agency (ECA) is a 501(c) (3) nonprofit organization whose mission is to help people conserve energy and promote a sustainable and socially equitable energy future for all. Since 1984, ECA has led the design and implementation of high-quality energy conservation, education, and home repair initiatives to eliminate energy burden and stabilize low-income families in their homes and communities.
Position Summary:
The Business Systems Administrator (BSA) manages data integrity and business technology across the organization. Based in Philadelphia with possible travel to Delaware, this role drives user adoption, engagement, and data quality. The BSA administers core tools including Salesforce, VOIP systems, videoconferencing, document workflows, and mobile devices. The Business Systems Admin is also responsible for working with our call center services vendor. A successful candidate is highly proficient in Salesforce and in integrating IT systems, combining technical troubleshooting with an empathetic, patient approach to coach staff through digital transformations.
Responsibilities:
· Daily Salesforce system administration includes custom application development and workflow buildout to match updated program outcome requirements.
· Generate reports to monitor data quality daily and resolve data integrity issues.
· Ensure Salesforce functionality of 16 Neighborhood Energy Centers, train and support external user agencies, providing troubleshooting as needed.
· Identify Salesforce user and manager training needs across the organization, collaborate with program leaders as needed to make system improvements.
· Create SOPs, as well as written or video guides for software systems.
· Manage company cell phones, VOIP systems, and software access; act as the first line of troubleshooting, working with our current IT provider as needed.
· Develop a positive working relationship with our vendors and IT service providers.
· Track and manage the inventory of employee cell phones, and coordinate with the IT service provider to track computers, cell phones, accessories, and tech resources.
· Partner with departments to transition paper processes into efficient digital workflows.
· Offer project management support for organizational digital transformation and collaboration tools, following the goals of ECA’s Strategic Plan.
· May be asked to manage an additional employee and/or interns.
Qualifications
· Experience: 2–4 years of relevant professional experience.
· Associate’s degree in technology, computer science, IT, or related field. Bachelor’s degree preferred. Equivalent training and experience will be considered.
· Mission Alignment: Passion for mission-driven work, housing equity, and clean energy, understanding of the nonprofit space and community-based services.
· Demonstrated System Administrator level proficiency (ECA manages clients, donors, grants, vendors, and workforce program data in Salesforce).
· Strong project management and supervisory skills.
· Technical Proficiency: Administrative level experience in Microsoft Office Suite (SharePoint), Adobe (E-Sign, Forms), and VOIP systems.
Core Competencies:
Strong troubleshooting, end-user coaching skills, strong project management skills, and the ability to collaborate and work independently across all staff levels. Must be able to sit at a desk for lengthy periods of time and occasionally travel.
