Endpoint Solutions is delighted to introduce an Administrative Assistant (New Role - Full Time) to our evolving team! This role will be essential to providing comprehensive support across various departments, ensuring our office operates smoothly and efficiently. Some of the primary responsibilities of this role include:
Reception: Greet visitors kindly and professionally while directing them to appropriate staff members and use discernment with unexpected guests and solicitors.
Telephone & Voicemail Management: Screen and forward phone calls and voicemails to the appropriate departments to ensure prompt communications.
Mail & Shipping Coordination: Manage incoming/outgoing mail and packages, and coordinate shipments and courier arrangements as needed.
Inventory Management: Keep track of office supplies, update monthly inventory records, and provide the Office Administrator with order requests for items needed to maintain a well-stocked and functional workplace.
Miscellaneous Errands & Housekeeping: Assist with various operational needs such as running errands to acquire office and field supplies, stocking the fridge with staff beverages, watering communal plants, and maintaining a clean and organized office environment.
Meetings Support: Assist in preparing materials, setting up rooms, and coordinating lunches for team, department, or client meetings on a monthly and as needed basis.
Marketing Support: Assist in preparing and updating promotional materials like business cards and service sheets, as well as event specific planning and initiatives as needed.
Project Support: Collaborate with project managers to assist with project setup in BQE CORE, maintain virtual and physical records, prepare invoices, and communicate with clients as needed.

Previous experience in administrative, supportive, or customer service roles is a plus but not required.
Previous experience with BQE CORE software is a plus but not required.
Previous experience with Microsoft Office Suite or similar is required.
Reliable transportation for running errands is required.
Excellent written and oral communication skills.
Commitment to organization and attention to detail while juggling competing requests.
Commitment to confidentiality and ability to handle sensitive information.
Commitment to invoicing and billing accuracy – general understanding of math and financial calculations is required.
Ability to learn new programs/procedures quickly and willingness to ask questions.
Self-motivated and ability to work without excessive oversight.
Positive attitude with growth-mindset.

Salary Range: $20.00 - $25.00 per hour
