We are seeking a dynamic and highly organized Medical Office Assistant Manager to lead our healthcare administrative team. Responsibilities
- Supervise front desk operations, including patient check-in/check-out, appointment scheduling, and phone etiquette to ensure exceptional patient service.
- Oversee medical billing and coding processes, including CPT, ICD-9/10, and ICD coding, ensuring accurate documentation review and compliance with HIPAA regulations.
- Manage insurance verification procedures for Medicare, private insurers, and other payers to optimize reimbursement processes.
- Coordinate with clinical staff to support care plans, documentation review, and health information management using EMR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Dentrix, Eaglesoft, or similar platforms.
- Lead staff training on medical terminology, HIPAA compliance, EMR systems usage (including Eaglesoft and Dentrix), and office procedures to maintain high standards of accuracy and professionalism.
- Monitor clinic workflow efficiency by managing medical scheduling, intake procedures, filing systems, and multi-line phone systems.
- Ensure compliance with healthcare regulations through regular audits of medical records and documentation review processes.
- Support billing operations by overseeing medical collection efforts and ensuring proper coding practices for insurance claims submission.
- Foster a collaborative team environment by providing mentorship and resolving operational issues promptly.
Requirements
- Proven experience in medical office management or healthcare administrative roles within a clinical setting.
- Strong knowledge of EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Dentrix or Eaglesoft.
- Familiarity with medical billing procedures including CPT coding, ICD-9/10 coding standards, Medicare requirements, and HIPAA regulations.
- Excellent organizational skills with the ability to manage multiple priorities efficiently.
- Exceptional communication skills with proficiency in phone etiquette and customer service excellence.
- Bilingual abilities are highly desirable to serve diverse patient populations effectively.
- Demonstrated leadership skills with experience supervising administrative or clerical staff in a healthcare environment.
- Proficiency in Microsoft Office Suite (Word, Excel) along with typing skills (including 10-key typing).
- Knowledge of dental terminology is a plus for clinics offering dental services or experience in dental office environments.
