Pay Range: $18 – 22/ hourly; open to salary post- performance review

ESSENTIAL DUTIES AND RESPONSIBILITIES

The Sample Assistant will be responsible for assisting with the coordination, organization, and tracking of product samples between our New York office, customers, and overseas suppliers. This individual must be highly organized, detail-oriented, and proactive in ensuring sample development, approvals, and deadlines remain on track.

• Assist in coordinating, tracking, and following up on product samples between internal teams, customers, and overseas suppliers.
• Review samples, communicate comments and revisions, and ensure all feedback is accurately documented.
• Maintain and update Excel tracking reports for sample development, approvals, and outstanding requests.
• Follow up on missing samples, pending approvals, and revised samples from suppliers.
• Communicate daily with internal teams, customers, and suppliers regarding sample status and timelines.
• Monitor deadlines and proactively identify potential delays to ensure projects remain on schedule.
• Maintain accurate and organized sample records and documentation.
• Assist sales, design, and production teams with timely sample submissions and approvals.
• Troubleshoot challenges with realistic and creative solutions.
• Perform related duties as assigned.

COMPETENCIES

• Experience working with overseas suppliers and tracking product samples is a plus.
• Experience in the wholesale, consumer goods, or home accessories industry is a plus.
• Proficiency in Microsoft Excel and Outlook required.
• Exceptional organizational skills with strong attention to detail.
• Self-motivated, proactive, and a self-starter
• Strong follow-up skills with the ability to take ownership of assigned responsibilities.
• Ability to multitask, prioritize, and manage multiple projects in a fast-paced environment.
• Proficient in Microsoft Office Suite, particularly Excel and Outlook.
• Excellent written and verbal communication skills.

EDUCATION AND EXPERIENCE

0-2 years’ experience in a production-related role preferred.
