Minimum Qualifications

  • Proven experience (three (3) years or more) as a payroll specialist or managing a timekeeping system with more than 200 employees. Experience as a Payroll Lead, Supervisor, or Manager is strongly desired.
  • Prior experience (three (3) years or more) with relevant payroll software (UKG preferred) is required.
  • High school diploma or equivalent; college degree preferred.
  • Fundamental Payroll Certification (FPC) is required.
  • Certified Payroll Professional (CPP) or Certified Compensation Professional (CCP) strongly preferred; required within two (2) years of hire.

Must be able to successfully pass a background check and drug screen to the satisfaction of the organization.

Essential Functions Of The Position

  • Administer EMSA’s payroll system to ensure timekeeping requirements are met for biweekly payroll processing and accurate records of labor hours are kept.
  • Oversee EMSA’s timekeeping process to ensure continuity in practice and compliance with federal and state laws.
  • Calculate and process payroll corrections and leave accrual adjustments for current and retroactive pay periods.
  • Troubleshoot, configure, and maintain EMSA’s timekeeping platform.
  • Conduct payroll audits and monitor timecards to ensure accuracy in payroll processing, and furnish payroll reports to department leaders, as needed.
  • Ensure payroll taxes, deductions, and withholdings are calculated correctly for each team member.
  • Process and adjust garnishments in accordance with state and federal guidelines.
  • Process and import timekeeping records into EMSA’s HRIS system.
  • Generate and upload NACHA files for payroll processing.
  • Work directly with team members to resolve timekeeping discrepancies or errors.
  • Manage retirement contributions and loan activities, including running activity reports, setting up deductions, uploading census data, and auditing records.
  • Audit benefit configurations to ensure accurate reflection in the general ledger.

Other Functions Of The Position

  • Maintain and update as needed EMSA’s Compensation Guidelines and Pay Practice documentation.
  • Various administrative duties.
  • Attend all relevant product training for EMSA’s timekeeping platform.

Supervisory Responsibilities

  • This position does have supervisory or management responsibilities of other employees.

Physical Demands

  • This position requires a frequent amount of time at a stationary desk sitting for up to 8 hours daily with frequent repeating motions that may include wrists, hands, and fingers. Hearing and talking to interpret job functions are frequently required and frequent visual ability to judge distance and space and clarity up to 20 ft. There is minimal hand tool operation and minimal ascending or descending ladders, ramps, or stairs. Occasionally may need to lift pull or pull objects up to 20 lbs. in all directions with a maximum lifting of 20 lbs. There is occasional walking and standing but minimal kneeling, crouching, bending, twisting.

Work Environment

  • The position works in a temperature-controlled environment with occasional exposure to extreme temperatures to include humidity. Sometimes may be exposed to fumes, grease, or oil and may experience minimal poor ventilation or air circulation. The noise level is frequently quiet with minimal exposure to moving mechanical parts/machines.
  • This position is required to frequently meet deadlines, work with changing priorities, and assess the accuracy and completeness of work on a regular basis. Frequently use logic to analyze and problem solve difficult situations and communicate to express or exchange ideas using proper English grammar and spelling. Occasionally utilize complex math and reasoning skills for planning work, analysis, and budgets. This position does not supervise other personnel.
