Job Summary
We are seeking a detail-oriented and compassionate Admissions Coordinator to join our healthcare team. The ideal candidate will manage patient intake processes, coordinate appointments, and ensure accurate documentation within electronic health record (EHR) systems. This role requires excellent communication skills, proficiency in medical administrative support, and a strong understanding of medical terminology and billing procedures. The Admissions Coordinator will serve as the first point of contact for patients, providing exceptional customer service and ensuring compliance with HIPAA regulations.
Responsibilities
- Greet patients and visitors professionally, providing a welcoming environment at the front desk.
- Schedule patient appointments using EMR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Dentrix, or Eaglesoft.
- Verify insurance coverage and perform insurance verification procedures accurately.
- Collect patient demographic information and update medical records in compliance with HIPAA standards.
- Review and process documentation related to patient intake, ensuring completeness and accuracy.
- Assist with medical billing and coding tasks, including CPT and ICD coding (ICD-9/ICD-10), to facilitate claims submission.
- Manage multi-line phone systems with excellent phone etiquette; handle inquiries efficiently.
- Maintain organized filing systems for medical records and administrative documents.
- Support clinic operations by performing clerical duties such as data entry, filing, and document review.
- Collaborate with clinical staff to coordinate patient care plans and follow-up appointments.
- Ensure compliance with healthcare regulations and maintain confidentiality of patient information.
Qualifications
- Proven experience in medical office administration, front desk reception, or healthcare support roles.
- Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Dentrix, or Eaglesoft.
- Knowledge of medical terminology, CPT coding, ICD coding (ICD-9/ICD-10), and insurance verification processes.
- Experience with medical billing and documentation review is preferred.
- Strong computer skills including proficiency in Microsoft Office Suite and office management software.
- Excellent organizational skills with attention to detail in documentation review and data entry.
- Exceptional communication skills; bilingual abilities are a plus.
- Ability to handle sensitive information in accordance with HIPAA regulations.
- Prior clinic or dental office experience is highly desirable.
- Strong customer service orientation with professional phone etiquette and typing skills (including 10-key typing).
