Position: Admissions Coordinator
Schedule: 11:00 a.m. – 7:30 p.m.
Position Summary
The Admissions Coordinator is responsible for coordinating and facilitating new patient admissions. This includes reviewing referrals, conducting initial screenings, responding to inquiries, and ensuring all admission requirements are completed accurately and efficiently.
Key Responsibilities

Review potential admissions and referrals in accordance with established guidelines.

Maintain accurate tracking and documentation of all referrals.

Respond to calls and inquiries about the facility within required timeframes.

Conduct initial screenings and level of care assessments for individuals seeking admission.

Complete insurance verification, confirm active benefits, and prepare authorization tracking forms.

Collaborate with Nursing, Medical, and Psychiatric leadership to ensure appropriate recommendations for pending referrals.

Coordinate admissions and transfers with referral sources.

Maintain knowledge of milieu management and apply appropriately.

Assist with new admission procedures (including searches and urine drug screens) as needed.

Communicate projected admissions promptly to relevant internal personnel.

Ensure all available medical, psychiatric, and comorbidity information is obtained prior to admission when possible.

Complete pre-authorizations for treatment within payor requirements and timeframes.

Serve as a liaison to community partners and maintain positive relationships with referral sources.

Demonstrate a positive, empathetic, and professional attitude; acknowledge and address concerns when patient needs are not met.

Protect patient confidentiality and privacy at all times.

Perform other duties as assigned.

Educational Requirements
HS diploma required, bachelor’s degree preferred. 3 years of Admission’s Experience required for 3 years.
Qualifications
Preferably, work experience would include some prior experience in the field of substance use disorders and mental health treatment. Experience in managed care pre-certification process and utilization preferred.
Physical Requirements
Will be required to move between buildings to bring admissions to the units.
Assist in moving patient belongings which may include lifting or pushing a cart.
